As Workplace Coordinator for London out of our hub office in London your key responsibilities will include:
- Reception and Visitor Management: Screen and welcome office visitors and manage guest arrivals with authentic pleasantness and following security protocols. Maintain the professionalism of reception area. Ensure that the sights, sounds and scents of reception and client experience floor represent who we are. Offer guests welcoming gestures such as hanging their coats, serving them a beverage, and connecting them with their host.
- Calendar Management: Assist with booking main conference rooms. Assist with resolving conference room scheduling conflicts, coordinate logistics for meetings as needed (e.g. scheduling conference rooms, coordinating food and drink etc.), in Paris and at our other serviced offices in Southern Europe.
- Daily Office Operations Tasks: Repair and Maintenance requests, daily set up and execution of elements crucial to day-to-day operation.
- Environment Monitor: Conduct various environment and hospitality walkthroughs throughout the day to ensure no issue goes unattended, including an end of day walkthrough.
- Organizer: Ensure the Sprinklr office, conference rooms, kitchens and storage areas are kept clean, tidy, and in an orderly fashion.
- Liaison: Act as point-of-contact between our numerous office, food, and facility vendors, building managers and janitorial staff.
- Shipping and Mail Management: Distribute incoming and coordinate outgoing mail and packages, including use of courier services, and purchase of additional postage. Receive and redirect mail and deliveries.
- Ensure stationery, pantry and janitorial supplies are stocked at necessary volume and inventory is managed optimally.
- Internal Communications: Amplify messages to the offices as indicated by team leadership or business needs.
- Safety and Security: Guard access into office floors. Assist in coordinating and communicating fire drills, safety trainings, and other emergency protocols. Grant and manage access through access control platform, building security management, and other tools and resources. Ensure full and immediate removal of access from exiting employees and contractors. Regularly review access reports and ensure compliance with periodic security audit requirements.
- Community Builder: Help maintain and elevate the culture and environment of the office. Plan, implement and coordinate internal events and social activities in respective offices of the region; assist with other department events as needed.
- Reporting: Ensure all monthly reports are completed and submitted in a timely manner. This includes but not limited to: expense reports, occupancy reports, budget trackers, and inventory trackers.
- Remote Employee Liaison: Help Remote employees feel connected to the offices when they are visiting or need anything from the office.
Fluency in English essential.
