Purpose of the Role
The role of Executive Team Assistant will be responsible for day-to-day admin support for our Chief Product and Marketing Officer (CPMO), her senior leadership team and CPMO department. This includes management of schedules and inboxes, facilitating, organising and minute taking meetings, coordinating travel arrangements, processing invoices and expenses and management of key projects. This person will be highly organised, with excellent attention to detail and time management skills, and proven experience working with senior leaders in demanding environments. The Executive Team Assistant will report into the CPMO.
Responsibilities & Key Relationships
Responsibilities:
- Provide high quality support to the CPMO and her board of directors with administrative tasks including preparing agendas, facilitating and minuting meetings, processing expenses and invoices, organising travel and providing project management support.
- Day to day management of the CPMO’s diary including arranging meetings and prioritising invites with multiple senior stakeholders, across multiple time zones.
- Act as a first point of call for the CPMO, maintaining high levels of visibility and professionalism and communicating on their behalf.
- Create supporting documentation for board-level meetings, creating agendas, minuting meetings and following up on outstanding actions and project plans.
- Support the management on the admin team inbox and calendar.
- Conduct project work for and with the department as necessary.

Experience, Skills & Qualifications
Experience:
- Previous PA/EA experience at an executive level.
- Experience managing complex diaries across multiple time zones.
- Experience juggling multiple high-priority tasks, always maintaining the highest level of accuracy.
- Experience arranging agendas, creating and providing supporting documentation, creating accurate and clear minutes and actions, and following up on outstanding actions, reporting back to the CPMO with relevant updates.
- Experience supporting senior leadership team with administrative tasks, including diary management, scheduling meetings, booking travel and processing expenses.
- Previous experience of working with senior management and taking responsibility and overseeing projects.
- Experience working in a busy, deadline-driven environment.
- Experience supporting an office or department.
Skills/Knowledge:
- Proactive with a flexible attitude and the strong ability to use own initiative to complete tasks.
- Excellent attention to detail.
- Highly organised and able to problem solve.
- Strong ability to prioritise and multitask efficiently.
- Highly proficient in MS Office, specifically Outlook, PowerPoint and Excel.
- Team player approach and a willingness to assist colleagues.
- Excellent written and verbal communication skills.
- Handling sensitive documents with confidence, security and confidentiality.
Qualifications:
- Proven work experience as a Personal or Executive Team Assistant.
- Qualified to GCSE standard, or equivalent.
