Spire Nottingham Hospital has an exciting opportunity for an Administrator to join our medical records team on a bank, occasional basis. Spire Nottingham Hospital is a modern and well-equipped private hospital that provides high-quality medical services to patients. The hospital offers consultations with specialists who are experts in a wide range of treatments, including advanced imaging and diagnostic technology. The hospital is committed to providing exceptional care and support to its patients, ensuring that they feel comfortable and well looked after throughout their time at the hospital.
Duties and Responsibilities (not limited to):
- Provide clerical support within the Medical Records Department to ensure an effective and efficient case note filing and extraction service to all users.
- Retrieval, tracking and filing of case notes, identify and filter case notes in accordance with Spire Policies.
- Record and track the movement of case notes into each department using Trackfile.
- File case notes and other documentation to ensure a prompt and accurate retrieval service.
- Extract case notes in a timely manner ensuring that items are correctly booked out of the library to the new destination.
- Maintain case note folders to agreed standards: filing documentation within designated sections of the folders.
- Check the case note attendance details, dates and alert sheets against the Patient Administration System.
- Assist in the maintenance of evidence files by checking for completeness and following up requests for missing items.
- Liaise with off-site storage representatives to ensure timely delivery and collection of case notes.
- Provide and receive patient information for Consultant clinics and Wards, ensuring compliance with GDPR and the Data Protection Act.
Who are we looking for?
- Good standard of secondary education with demonstrable literacy and numeracy skills.
- Track record of successful delivery in a similar role, in an office and/or customer service environment.
- Knowledge of GDPR and the Data Protection Act.
- Computer/IT literate.
- Excellent interpersonal and communication skills.
- Confident telephone manner with the ability to communicate with a wide range of customers at all levels.
- The ability to work effectively as part of a team.
