To provide excellent administrative and customer service support within the Theatre Department, being the first point of contact for all queries via telephone, email, or face‑to‑face. All queries will be dealt with effectively by the most appropriate person, and the role will work with the Theatre Manager to provide administration support as required.
Job responsibilities
- Knowledge and use of hospital IT systems such as SAP, HMS, Outlook, Pirana, etc.
- Transfer all patient booking details onto theatre Outlook diaries, highlighting any potential inhibitors to the booking request to the Theatre Manager / Theatre Management Team.
- Proactively lead on ensuring compliance with short notice booking processes.
- Manage list order changes on SAP/Diary.
- Coordinate and print the theatre list for the following day at an appropriate time.
- Manage changes to theatre lists, print updated lists and share with relevant teams/departments.
- Provide full support to the Theatre Management team in updating and implementing new processes and procedures as required.
- Process all charge sheet updates on diary, including codes, times, specimen and other checks post‑surgery.
- Answer telephone queries, passing messages to Theatre Manager / theatre staff.
- Upload information from emailed variances received from wards / preadmission to diary and SAP.
- Prepare the diary for Friday meeting, checks and updates.
- Follow up tasks after weekly theatre planning meetings.
- Produce monthly theatre meeting minutes.
- Correctly archive theatre implant books and registers, add Anaesthetic rota to theatre diary.
- Enter estates and engineering Pirana requests for the Theatre Department.
- Process access control fingerprint requests and activation.
- Support purchasing requests as required.
- General administration tasks including but not limited to document laminating, printing, scanning and photocopying.
Qualifications
- GCSE level education.
- Competent in the use of PC with knowledge of various Microsoft applications.
- Previous experience in a hospital environment.
- Planning and organisation skills.
- Ability to manage time and prioritise appropriately.
- You will liaise with the Theatre Manager or the Deputy Theatre Manager when resolving problems.
