Spire Southampton Hospital have an Outpatient Capacity Coordinator to join the team. We are seeking someone with strong administration skills who has worked in healthcare in either administration or a healthcare assistant role that would like to move into Administration.

Duties and responsibilities:

  • Manage Out Patients mailbox for email requests for ad hoc clinic capacity, list extensions and cancellations (18 rooms, 2 treatment rooms, 1 minor ops).
  • Review systems, liaise with secretaries and OP manager regarding changes and request confirmation.
  • Build effective partnerships with consultants and secretaries, increasing consultant engagement while delivering on targets for theatre and outpatient utilisation.
  • Provide a single point of contact for consultants and secretaries to manage the allocation of fixed theatre lists and ad hoc theatre sessions, or removal of sessions where there is the prospect of being under‑utilised.
  • Work alongside clinical areas to ensure that all resources are available to support assigned cases.
  • Work with Spire utilisation tools and reports to support activity and chair utilisation meetings.
  • Create dashboard/reporting information to advise SMT of utilisation status, highlighting key or material movements.
  • Have a good understanding of the patient pathway identifying pinch points proactively so they can be avoided.

Candidate Requirements:

  • Strong administrator skills and experience.
  • Demonstrable ability in problem solving and prioritisation skills.
  • Swiftly understand the cause of challenges and be able to work collaboratively with multi‑disciplinary teams to resolve.
  • Willingness to take ownership and responsibility to deliver solutions.
  • Excellent communication and people skills.
  • Ability to prioritise and manage own workload.
  • Passion for increasing patient throughput.
  • Willingness to have difficult conversations with senior clinicians and colleagues to improve utilisation.

Contract: Permanent, Part-time

Hours: 22.5 hours per week, Monday‑Thursday working 6 hours per day.
