Spire Claremont Hospital is looking for a Bookings Team Lead to join the team on a full‑time basis, working 37.5 hours per week.
Job Purpose
To ensure the delivery and administration of all stages of the booking process including admissions and pre‑op assessments across all payors. To ensure the booking team provides a high standard of customer service to all patients, consultants, NHS partners, staff and visitors. To manage workload effectively and efficiently in line with business demand, adhering to KPI’s, clinical standards and commercial requirements. To be an advocate of excellent customer care while working as a team, making a positive difference to our patients’ lives through outstanding personalised care.
Overall Responsibilities
- Provide and maintain an efficient bookings system for all patients, dealing with phone queries, managing email communications and using and managing computerised systems (SAP & HMS).
- Plan theatre lists for Consultants.
- Lead a team of multi‑skilled administrators who can adapt to the demands of the business and drive operational performance.
- Adhere to HR policies and procedures within the inpatient bookings team and pre‑op admin team, including managing sickness, annual leave and under‑performance management.
- Manage NHS contract work operationally, weekly performance meetings, management of patient flow and liaise with key NHS stakeholders.
- Maintain good working relationships with Consultant stakeholders.
- Ensure all administrators have monthly 1‑to‑1 meetings and feedback sessions, and EE’s set.
- Run a team meeting monthly to communicate any updates or changes.
- Ensure all calls are answered promptly, delivering high standards of customer service at all times, conduct regular quality assessments and give feedback to the team.
- Plan the workforce in line with activity to ensure timely management of all administrative tasks associated with bookings, pre‑op assessment and admissions.
- Create activity reports to share with the Patient Administration Manager, Operations Director and the SMT.
Qualifications and Training
Good standard of secondary education with demonstrable literacy and numeracy skills.
Experience
Track record of successful delivery in a similar role, in an office and / or customer service environment.
