Spinwell is recruiting for an Administration Support Assistant for an excellent opportunity within the public sector.
RESPONSIBILITIES OF THE ADMINISTRATION SUPPORT ASSISTANT
- Ensure the smooth administrative running of the AIU by undertaking general support functions, including: arrangement of meetings with AIU staff, internal and external stakeholders and contributing to the delivery of AIU Strategy.
- Support the preparation of documentation and other papers for meetings, review and obtain relevant information for the Senior Management Team (SMT).
Attend meetings and take accurate/confidential minutes and actions for distribution and coordinate linked action plans.
Ensure completion of delegated tasks at all levels including: gathering and collating information, providing updates on projects for the purposes of briefing senior managers.
- Support the professional and smooth running of all departmental conferences, seminars, and ceremonies by assisting with arrangements such as booking venues and catering, coordinating with internal and external stakeholders, helping with presentations, and preparing materials including certificates, orders of service, agendas and attendee lists.
Provide assistance with booking accommodation and travel arrangements as required, and offer support on the day to help facilitate these events.
- Contribute to the efficient running of the AIU Hub and ensure they have all equipment, tools and resources they require by processing requests for items received from staff within AIU, raising orders using Force systems including Aptos, Stores Portal, Reprographics and ACS; once received receipt and close down on the systems.
Ensure complete and comprehensive information is collated around all fleet and estates related processes and requests.
- Assist with the effective running of recruitment processes by contributing to on-boarding and off-boarding activities for all new AIU staff, including ordering IT equipment.
Carry out administration tasks related to recruitment, on-boarding and off-boarding of new AIU staff
- Support the delivery of AIU strategy and help maintain high quality departmental communications to internal and external members of staff by managing communication channels such as MS Teams, intranet pages and other communication products.
SKILLS/EXPERIENCE OF THE ADMINISTRATION SUPPORT ASSISTANT
- Good standard of education with a minimum of 2 GCSEs grades A-C/9-4 or equivalent in Numeracy and Literacy and/or recent experience of working in a demanding office environment with competing demands whilst managing high workloads.
- Very organised with an ability to prioritise, be flexible and motivated to work to non-negotiable deadlines and manage a substantial workload and solve problems.
- Very good IT skills: ability to use Excel, Word, Power Point and Outlook to a good standard (e. g. preparing high standard presentations and reports) with a willingness to learn and understand systems.
Must possess the keyboard/word processing skills with demonstrable minute taking experience is essential.
- Proven effective interpersonal and communication skills which can be adapted to all levels of the organisation with the ability to present information clearly to internal and external audiences applying diplomacy, integrity and discretion.
Ability to problem solve a range of different issues.
- Proven ability to act with integrity whilst managing confidential and sensitive information appropriately.
- Must have capability to travel locally across the force area. For this reason a full UK driving licence is considered essential.
