Working in a fast paced International Shipping company you will act as the first point of contact for clients and visitors, you will be a confident, polished and proactive individual who enjoys creating a welcoming and professional atmosphere. You will provide administrative support across the office and MD. No two days are the same, making this an ideal opportunity for someone who enjoys variety and is happy to take ownership of the smooth day-to-day running of the office.
Key Responsibilities
- Acting as the first point of contact for visitors, clients and telephone enquiries
- Providing a warm, professional and confident front-of-house experience
- Preparing meeting rooms and coordinating meetings and hospitality
- Managing general office administration, including contracts, service agreements and correspondence
- Coordinating domestic and international travel arrangements for employees and visiting colleagues
- Liaising with building management and external suppliers to ensure the office operates efficiently
- Processing invoices using SAP and monitoring payment status
- Supporting the onboarding of new employees, including coordinating inductions and ensuring a positive welcome
- Working collaboratively with colleagues across international offices
- Supporting visiting senior stakeholders and members of the wider business
- Providing administrative support to the PA to the Managing Director and assisting with wider office projects as required
Previous experience in a shipping or insurance company is highly preferred.
