The Role

Less about us, more about you.

We’re on the hunt for a highly organised and detail-oriented Office Assistant to provide essential administrative support to our rapidly expanding team. The successful candidate will play a pivotal role in maintaining a smooth and efficient office environment, ensuring that daily operations run seamlessly.

Here’s what you’ll be doing…

  • Office maintenance
  • Keeping it tidy, comfortable, and stocked with everything needed to keep operations running smoothly.
  • Coordinating with vendors and suppliers for office repairs and maintenance.
  • Managing front-of-house operations, organising deliveries, and welcoming clients and candidates to the office for meetings.
  • Maintaining office equipment, ensuring everything is working properly and coordinating repairs when needed.
  • Keeping the office a safe environment to work in, ensuring it is compliant with policies such as fire safety and first aid.
  • To keep on top of the team\’s use of meeting rooms, keeping them tidy and ensuring no clashes occur.
  • Administrative support
  • Coordinate travel arrangements for the team, including flights and hotels.
  • Arranging catering and any other logistics for meetings.
  • Maintaining accurate records of office-based expenses, and collaborating with the Finance team on budgets.
  • Company events & culture
  • Support the social committee in organising company events, such as the fortnightly pub trips or our annual boat party!
  • Ensure the smooth running of any office-based activities, such as run club, monthly lunch club, and monthly masseuse visit.
  • Play a key role in shaping and sustaining our workplace culture, ensuring that our office remains a collaborative, motivating, and enjoyable space for all team members

Here’s what we need from you…

  • Proactivity. You’re a self-starter who takes initiative, anticipating the team\’s needs.
  • Excellent communication skills, both written and verbal.
  • Proficient in Microsoft Office and Google Workspace.
  • You’re a team player, willing to get things done with a positive can-do attitude.
  • You’re highly organised and comfortable multi-tasking.

And for some extra brownie points…

  • Previous experience in an office environment or an administrative role.
  • A genuine love for organising, whether it’s managing calendars and inboxes, tidying kitchen cupboards, or keeping client products in perfect order!
  • Being tech-savvy. It’s not an IT role, but you may occasionally be asked about WiFi or laptop issues.

Some Specifics

  • Time: 38 hours, 5 days a week (Mon-Fri)
  • Location: Borough, London (as you’d expect with an Office Assistant position, this role will primarily be based in the office, with up to 1 day per week working from home.)
  • This role will be reporting to the HR Manager
