There is an exciting opportunity for an Office Administrator to join their team on a part-time, permanent basis based in Ipswich, Suffolk.

About the role:
As an Office Administrator, you will act as a central point of coordination across the business, supporting a wide range of administrative, compliance, customer service, health and safety, and reporting activities. You will help maintain accurate records, manage company systems and databases, support fleet administration, and assist with the smooth running of the office. This is an ideal opportunity for a highly organised and proactive administrator who enjoys variety, takes pride in attention to detail, and thrives in a collaborative environment. Working Hours for this role will be 22.5 per week. Wednesday 9:00am – 5:00pm is essential, with remaining hours to be agreed between Monday and Friday.
Main duties and responsibilities:
- Provide administrative support to the Directors, maintaining records, documentation, databases, and business systems.
- Support health and safety administration, including compliance records, audits, PPE management, COSHH documentation, first aid equipment, and fire safety processes.
- Coordinate vehicle and fleet administration, including servicing, MOTs, inspections, maintenance schedules, and record keeping.
- Maintain freelancer and contractor records, ensuring qualifications, insurance, training, driving licence checks, and compliance documentation remain up to date.
- Act as a professional point of contact for customers, suppliers, and contractors, assisting with enquiries and maintaining accurate customer records.
- Produce reports and analyse business data to support decision-making, identify trends, and contribute to continuous improvement initiatives.
About you:
As an Office Administrator, you will have previous administration experience and be highly organised, proactive, and detail focused. Experience supporting compliance, health and safety administration, fleet management, customer service, or business reporting would be advantageous. You will possess excellent written and verbal communication skills, strong organisational abilities, and confidence managing multiple priorities. You will be comfortable working independently as well as collaboratively within a team and have a professional and customer-focused approach. A good understanding of Microsoft Office and database systems is essential, along with strong written English and attention to detail. A full UK driving licence is an essential requirement for this role.
