Help us make sure families get the support they need, the moment they need it, not years later. At Spicy Minds, we're building Sylva, an AI-powered platform that helps families navigate Autism, ADHD, and neurodiversity challenges when the NHS and education systems can't keep up. We're a small, mission-driven team working to bring calm, clarity and hope to parents who are overwhelmed. To keep everything running smoothly as we grow, we're looking for a highly organised Operations Coordinator to become the steady heartbeat of the organisation.

You'll keep our core rhythms moving, people processes, finance workflows, customer support, compliance and internal operations. When you do your job well, the whole organisation feels calmer, clearer and more human. You won't be 'just admin', you'll be the person who makes sure nothing important slips through the cracks.

Requirements

  • Excellent organisation and attention to detail
  • Confident using systems and learning new tools (Google Workspace, Slack, QuickBooks, BrightPay, HubSpot, CharlieHR)
  • Strong communication skills and a warm, professional manner
  • Willingness to undergo a DBS check

Desirable

  • Understanding of safeguarding, GDPR and right-to-work processes
  • Experience in HR admin (e.g. onboarding & offboarding, scheduling appraisals)
  • Experience with Finance admin (bank rec, supporting the finance manager with payroll, VAT returns, year-end, insurance)
  • Experience with regulatory compliance (e.g. ISO27001, ISO13485, ISO9001, DCB0129)
