Service Coordinator / Administrator

Our client is an established property services company based in North West London and is looking for an experienced Service Coordinator / Administrator to join their team.

This is a busy and varied administrative role, coordinating a team of engineers and making sure jobs are booked in, followed up and completed efficiently.

The role would suit someone with previous experience in a service coordination, scheduling or administrative position, ideally within property services, facilities management, maintenance or a similar industry.

Responsibilities

  • Answering incoming calls and dealing with customer enquiries
  • Booking and scheduling engineers for maintenance and service visits
  • Coordinating engineers' diaries and managing appointments
  • Liaising with customers to arrange and confirm appointments
  • Following up on outstanding jobs and making sure they are progressed
  • Receiving and checking engineers' reports
  • Preparing and sending reports to clients where required
  • Keeping customers updated on the progress of jobs
  • Maintaining accurate records of jobs, appointments and engineer visits
  • Dealing with general administration and paperwork
  • Liaising between engineers, customers and the office team
  • Managing a busy workload and prioritising urgent jobs where necessary

About You

  • Previous experience in an administrative, coordination or scheduling role
  • Experience arranging engineers, contractors or field-based staff would be highly advantageous
  • Ideally, experience within property services, facilities management, maintenance or a similar service-based industry
  • Confident dealing with customers over the phone and by email
  • Strong organisational skills and able to manage a busy diary
  • Good attention to detail
  • Comfortable working with reports and written documentation
  • Able to work under pressure and manage multiple jobs at the same time
  • Good IT skills and confident picking up new systems
  • Reliable, organised and proactive

Salary: Β£26,000 - Β£28,000

Hours: Full-time, Monday to Friday
