Systems and Compliance Coordinator in Birmingham

Systems and Compliance Coordinator in Birmingham

Birmingham Full-Time On-site
S

Want to build a company's systems from the ground up, not just keep them ticking over?

Spectrum is growing, and we're redesigning how we manage information, quality and compliance across our three companies. We're looking for a Systems & Compliance Coordinator to lead that work. This is a brand-new role with real influence over how the group operates as it grows.

Who we are

The Spectrum group is made up of three businesses:

  • Spectrum Electrical and Mechanical Engineers: M&E subcontractor
  • Spectrum Renewables: solar and renewables installer and subcontractor

The role at a glance

  • Erdington, Birmingham: hybrid, with travel to sites as needed
  • £35,000 – £42,000 depending on experience and qualifications
  • Full time, 40 hours per week, Monday to Friday
  • Permanent, reporting to the Company Directors

What you'll be doing

You'll be the day-to-day owner of a new central SharePoint environment used across all three businesses. That means:

  • keeping the structure, libraries, metadata and naming conventions in order
  • filing and distributing incoming documents: drawings, contracts, certificates, insurances and RAMS
  • managing access for staff, subcontractors and external parties
  • controlling templates and document versions
  • training colleagues to use the platform well

2. Leading us to ISO 9001 and ISO 14001

You'll build an integrated quality and environmental management system, then take the group through certification. That includes:

  • writing the policies, procedures, process maps and registers
  • running internal audits
  • tracking corrective actions through to closure
  • being the main contact for the certification body

ISO 45001 may follow.

3. Keeping every accreditation live

You'll keep a central register of every accreditation, membership and certification across the group, so nothing lapses. That includes:

  • CHAS, SMAS WorkSafe, Constructionline and other SSIP schemes
  • Gas Safe and NICEIC, by tracking engineer qualifications and assessment visits
  • MCS
  • maintaining PAS 2030 and leading our application for PAS 2035 and TrustMark

You’ll also complete prequalification questionnaires and tender compliance sections, and recommend new accreditations that help us win work.

4. Keeping the directors informed

You’ll maintain training and competency records, including CSCS cards, flag expiries early, and report regularly to the directors on compliance status.

What you’ll bring

  • 2+ years in a compliance, quality, document control or SHEQ administration role
  • Working knowledge of ISO 9001 and/or ISO 14001
  • Experience of completing prequalification or accreditation submissions
  • Confident Microsoft 365 user (Outlook, Word, Excel, Teams)
  • Highly organised and accurate, with clear written communication
  • Persistent and personable: you can chase people for information tactfully
  • GCSE English and Maths (or equivalent)
  • Full UK driving licence and willingness to travel to offices and sites

It would be great if you also have

  • Experience in construction, M&E or renewables
  • Experience taking a company through its first ISO certification
  • Hands‑on experience with any of CHAS, SMAS, Constructionline, Gas Safe, NICEIC, MCS or PAS 2030/2035
  • SharePoint administration skills (permissions, metadata, libraries), or experience with Power Automate or Microsoft Lists
  • CQI/IRCA Internal or Lead Auditor, IOSH Managing Safely or NEBOSH General Certificate

What we offer

  • 28 days' holiday (including bank holidays)
  • Funded training and qualifications, such as internal auditor courses and IOSH
  • Mileage allowance (if travel to sites is needed), laptop and phone
  • A new role where you'll shape how a growing group works
