Spectra is looking for an organised and proactive Office & Operations Coordinator to help keep our organisation running smoothly. This is a varied role at the heart of our CORE team, supporting day-to-day operations, internal communications, staff information systems and organisational administration. You will help maintain our Staff Hub, coordinate internal communications, support onboarding and offboarding processes, and ensure staff have access to the resources, systems and information they need.

We are looking for someone who enjoys solving practical problems, improving systems and helping colleagues work effectively. You will:

  • Coordinate day-to-day office and operational administration
  • Maintain and develop Spectra's Staff Hub and internal resources
  • Produce staff newsletters and organisational updates
  • Support staff onboarding and offboarding administration
  • Coordinate equipment, systems access and organisational records
  • Support organisational events and activities
  • Work with colleagues to improve administrative systems and processes
  • Support the effective use of Microsoft 365, SharePoint and other organisational systems

We are looking for someone with:

  • Strong organisational and administrative skills
  • Excellent attention to detail
  • Experience maintaining records, systems or administrative processes
  • Confidence using Microsoft 365 applications such as Outlook, Teams, Word and Excel
  • Experience working with shared information systems, intranets or document management platforms
  • The ability to manage multiple priorities and work collaboratively across teams
  • Experience of SharePoint, Microsoft Forms, Microsoft Lists, Salesforce or similar systems would be an advantage.
