Spark Medical Limited provides 24 hour, 365 days a year accident and emergency services to those in need of emergency medical treatment and transport. Our highly skilled staff provide life-saving care to patients in the community and take people to hospital or a place of care if needed. We also provide non-emergency patient transport services for those patients who require non-emergency transport to and from hospital and who are unable to travel unaided because of their medical condition or clinical need.

The main purpose of this post is to support the Head of People & Culture to provide specialist advice on all employment matters relating to all staff and the provision of a high quality, proactive and efficient HR service. To assist in providing a comprehensive, pragmatic and well-informed Human Resource Management support service to Managers and Staff within the Trust. In particular, the focus of this role is supporting the Care Groups to manage their sickness cases in line with the Trust\’s Policy and best practice.

The post-holder will also be required to provide advice on the application of company policies and procedures and employment legislation, monitor professional registrations, fixed term contracts, respond to Subject Access Requests, and provide recruitment support.

Main Duties and Responsibilities

Recruitment and Selection

  • Carry out all the administrative processes in the recruitment process.
  • Screening of applicants and interview management, to include posting of adverts, undertaking all necessary employment checks including DBS checks, right to work, qualifications, and references.
  • Ensure that the HR service undertakes all necessary employment checks before the induction process.

Onboarding and Induction

  • Administer the process for new employees and workers, for example, prepare contracts, offer letters, and process all pre-employment checks.
  • Conduct induction meetings with new employees and workers and liaise with Line Managers and Mentors to ensure they are aware of their responsibility in the induction process.
  • Administer the probation process ensuring Managers know when review meetings need to take place.
  • Roll out the induction e-learning package to new starters and administer e-learning accounts.

Payroll

  • Ensure payroll instructions are prepared and logged, for example: pay changes, contract changes, new starters, leavers, contractual benefits, and staff benefits.

Appraisal and Staff Development

  • Manage and ensure Personal Appraisal Development Reviews are scheduled and liaise with HOAOM/AAOM. Record completed appraisals and training needs, administer probation process ensuring managers know when the meetings are scheduled.
  • Ensure all staff are allocated the correct logins for services they will require.

HR Database and Reporting

  • Be the primary contact for queries on the HR systems.
  • Act as systems administrator, configuring the system as required, requesting user access, managing data flows in and out of the system, and ensuring accuracy and data protection compliance.
  • Ensure the HR Database accurately reflects current staff conditions and details, including inputting starters and leavers, contractual amendments, change of details, annual leave, and recording of sicknesses and other leave.
  • Provide appropriate reports from the HR database for the purpose of auditing and monitoring employee data and training.

Advice and Guidance

  • Provide day-to-day advice to Line Managers and Employees on general HR-related queries, requests, and updates to Policies and Procedures, escalating more complex issues to the HR Manager or SLT team.
  • Assist in formal meetings, such as employee disciplinaries, investigations, absence warnings, and grievances undertaking such tasks as may be required by the Head Of People and Culture.

Leaver Administration

  • Ensure resignations are acknowledged in a timely manner, the Line Manager is aware of the process and any outstanding annual leave is calculated in accordance with the employee’s terms and conditions.
  • Ensure employees are removed from all Spark Medical systems on their leaving date.
  • Ensure exit interviews are conducted for all staff either face to face or by telephone.

Admin

  • Carry out general administration tasks for the HR Department, for example; telephone answering, devising standard Human Resources documents and letters, and managing the HR inbox.
  • Respond to reference requests for current or ex-members of staff.
  • Ensure electronic and paper-based personnel files are maintained and filing/archiving is completed in a timely manner.

Minimum Requirements

  • Experience working in HR, ideally recruitment, payroll, and benefits administration.
  • Ability to maintain a high level of confidentiality.
  • Possess a good understanding of current employment law and HR best practice.
  • Strong IT skills and experience of HR systems.
  • Highly organised with excellent attention to detail.
  • Good initiative and able to work with minimum supervision.
  • Confident and proactive in liaising with people at all levels and working as part of a team.
  • Excellent interpersonal and communication skills.
