We're looking for an organised, proactive Office Administrator to be the backbone of our day-to-day operations. You'll split your time between classic office admin, supporting our engineering team with parts ordering, and getting hands-on with basic bookkeeping in Xero. It's a varied role suited to someone who enjoys structure and detail but doesn't mind switching between tasks.
Key Responsibilities
- Office Administration
- Manage the reception desk and act as the first point of contact for visitors and callers
- Handle incoming correspondence, phone calls, and email enquiries
- Maintain office and kitchen supplies, ensuring the workplace runs smoothly
- Provide day-to-day administrative support to staff and the CEO
- Engineering & Procurement Support
- Help the engineering team order parts and components
- Track delivery timelines and follow up with suppliers as needed
- Company Policies & HR Documentation
- Maintain and update the staff handbook and company policies
- Manage the sign-off process for HR documents, ensuring records are complete and up to date
- Bookkeeping (Xero)
- Learn to input invoices and receipts into Xero
- Support basic account balancing and bank reconciliation
- Meetings & Visitors
- Schedule meetings and manage calendar invites
- Organise refreshments and logistics for meetings and visits
- Stock & Records
- Keep stock databases updated
- File documents and maintain accurate digital and physical records
- Events & Marketing Support
- Help organise company social events - venue booking, invites, and budget tracking
- Provide ad-hoc support for PR and marketing activities
What We're Looking For
- Previous experience in an office administration or similar support role
- Comfortable learning new software; Xero experience is a bonus but not essential
- Strong organisational skills and attention to detail
- Confident communicator, comfortable liaising with staff, suppliers, and visitors
- Able to juggle varied tasks and priorities in a small-team environment
- Right to work in the UK
- Must be based in Gloucestershire
