About the Role:

Key Responsibilities:

  • Manage day-to-day office operations, including office resources, workplace tools, and general maintenance needs to ensure the London office runs efficiently.
  • Serve as the Ropemaker Facilities and Locker Champion, acting as a key point of contact for related office matters.
  • Provide clerical, administrative, and general office support to executives, managers, and team members, including ad hoc requests as needed.
  • Manage incoming communications, including answering calls and directing inquiries appropriately.
  • Coordinate hospitality arrangements and support internal and external meeting bookings.
  • Coordinate calendars for key personnel and office resources to support effective scheduling and office planning.
  • Support leadership and client visits by coordinating logistics, meeting arrangements, and related preparation.
  • Attend and liaise on UK Leadership meetings and Ropemaker Facilities Management meetings, ensuring relevant updates and actions are appropriately coordinated.
  • Support the Commercial team and senior SPDJI London team members with travel bookings and related logistics.
  • Assist with travel and expense administration for the Commercial team.
  • Prepare and process expense reports for approximately 15–20 SPDJI London team members.
  • Provide SPDJI new joiner introductions and travel and expense training to support onboarding and compliance with internal processes.
  • Plan and coordinate office-wide gatherings and business events, including Commercial offsites, town halls, client receptions, holiday parties, and other team events.

Qualifications:

  • Prior experience in office management, executive administration, workplace operations, or a related administrative support role.
  • Demonstrated ability to manage multiple priorities, coordinate logistics, and support senior stakeholders in a fast-paced professional environment.
  • Strong understanding of office operations, workplace processes, and administrative best practices.

Required Skills:

  • Excellent organizational skills, attention to detail, and ability to follow through on commitments.
  • Strong written and verbal communication skills, with the ability to interact professionally with employees, leaders, vendors, and visitors.
  • Sound judgment, discretion, and professionalism when handling confidential or sensitive information.
  • Proficiency with Microsoft Office applications and comfort using workplace, travel, expense, and collaboration tools.
  • Ability to build effective working relationships across teams and operate with a proactive, service-oriented mindset.

Preferred Experience:

  • Experience supporting commercial, client-facing, or senior leadership teams within a corporate environment.
  • Experience coordinating office events, leadership meetings, client visits, or employee engagement activities.
  • Familiarity with travel and expense processes, facilities coordination, onboarding support, and vendor or hospitality management.
