Overview
The Client Services Manager (Grade Level 08) delivers an exceptional client experience across the Women’s Summits portfolio.
The role focuses on delegate retention, growth, and long-term client loyalty by building trusted relationships with delegates, sponsors, and internal stakeholders.
It includes continuous review and optimization of client service processes and maximizing the use of CRM systems, AI, automation, and other digital tools to streamline workflows, enhance communication, and enable the team to deliver proactive, high-quality service.
The successful candidate combines outstanding customer service with a commercial mindset, using data and technology to exceed client expectations while supporting delegate retention, business growth, and operational excellence.
Responsibilities
- Develop a deep understanding of our event clients’ organizational structure and business needs.
- Build long-term relationships with delegate attendees and act as the go-to person for delegate inquiries; ensure client objectives are met through continual follow-up and efficient responses.
- Be knowledgeable about each event to answer questions regarding the event from attendees.
- Be commercially aware, identifying and communicating opportunities that drive delegate attendance, maximize sponsorship success, and strengthen client retention.
- Continuously improve the client service experience by identifying opportunities to streamline processes and enhance efficiency through AI and automation.
- Manage the Summits Inbox, responding to and redirecting all inquiries within 24 hours.
- Proactively provide confirmed delegates with information such as hotel details, travel updates, and event features.
- Be the main contact for delegate conversion, working with marketing to develop the communication plan for each event.
- Attend events and be the main point of contact for delegate support.
- Promptly manage, execute, and track attendee changes for any ticket holders (excluding sponsors).
- Monitor activity tickets with marketing and operations to ensure adequate ticket availability.
- Lead on rooming for each Women’s Summit, coordinating with Sponsorship and Operations to meet all delegate and sponsor rooming requirements and minimize attrition.
- Work closely with marketing and operations to ensure coordinated efforts and an optimized client experience for delegates.
- Support Sales by providing leads and upsell opportunities and escalating significant issues or feedback themes.
- Oversee Bizzabo vs Salesforce ticket reconciliation.
- Support accounts to ensure correct billing of invoices for tickets.

- Experience in a client service or customer-facing role.

- Experience with Microsoft Word, Excel & Outlook.
- Experience with Salesforce, Pardot, Bizzabo, Monday. com, Swapcard preferred.
