Sowvital is a fast-growing British fragrance and lifestyle brand. We are looking for an Operations Coordinator to own the day-to-day running of our supply chain and order management processes. This is a role designed to grow: as the business expands, including the planned opening of an EU warehouse, so does the scope and seniority of this position.
Key Responsibilities
- Operations & Supply Chain
- Process B2B sales orders in our ERP system (Netsuite)
- Coordinate with the warehouse to ensure accurate and timely fulfilment
- Generate order confirmations, invoices, and shipping documentation
- Track order status, proactively updating customers and internal stakeholders
- Resolve order issues independently (returns, incorrect shipments, discrepancies)
- Maintain and improve operational SOPs, flagging gaps and building new ones where needed
- Sales Administration
- Set up new stockist accounts with accurate documentation
- Monitor customer enquiries and ensure timely resolution
- Finance Support
- Assist the Financial Controller with routine data entry and record-keeping
- Reporting
- Maintain basic operational reporting
The Path to Operations Manager
We are building toward opening an EU warehouse within the next 12 months. The right person in this role will grow with that ambition. You will be ready for the Operations Manager title when you can demonstrate:
- Full autonomous ownership of UK operations
- A track record of improving processes, not just following them
- Confident management of internal and external stakeholder relationships
- The ability to produce operational data and reporting we actually rely on
- Readiness to lead the operational setup of our EU warehouse
What We're Looking For
- Excel competency. This is non-negotiable and will be tested, so please do not apply for this role if you do not have strong excel skills
- 3-5 years in operations, logistics, supply chain, or a closely related field
- ERP system experience (we will provide training on our specific platform)
- Demonstrated experience improving or building a process, not just executing one
- Experience in a smaller business or scale-up environment, you know how to work without a large support structure around you
- A proactive communicator who keeps people informed without being prompted
- Highly organised with strong attention to detail
- Comfortable with ambiguity and a fast pace
- Any exposure to EU or cross-border logistics is a genuine advantage
- Experience in personal care, beauty, fragrance, or lifestyle brands is a plus but not essential
