The Opportunity

We are looking for a Defects Coordinator to join our team, playing a key role in managing customer-reported retrofit defects from initial notification through to resolution.

What You’ll Be Doing

  • Act as the primary contact for reported defects, ensuring prompt and professional communication with customers, contractors, and internal stakeholders.
  • Log, triage, and track defect reports, ensuring they are prioritised and resolved within agreed contractual timescales.
  • Coordinate inspections, monitor contractor performance, and verify resolution outcomes.
  • Maintain accurate documentation across key business systems (Asite, Keystone, C365, SharePoint).
  • Analyse data and defect trends to identify root causes and areas for process improvement.
  • Produce regular performance reports and dashboards for internal and external stakeholders.
  • Ensure compliance with internal procedures, external regulations, and GDPR standards.
  • Support audits and contribute to a culture of continuous improvement and collaboration.

What We’re Looking For

  • Strong experience in defect management, customer liaison, or document control within housing, construction, or a similar environment.
  • Excellent communication and organisational skills, with strong attention to detail.
  • Confidence using data and document management systems (e.g. SharePoint, Asite, Keystone, C365).
  • Proven ability to manage multiple priorities and deliver results in a fast-paced environment.
  • Analytical mindset with experience producing performance reports and identifying trends.
  • Understanding of contractual timelines, service levels, and quality assurance processes.

Desirable:

  • Knowledge of PAS2035/2030 retrofit requirements or similar frameworks.
  • Experience in housing association, local authority, or contractor-led retrofit projects.
  • Relevant training or certification in document control, customer service, or information management.
