Referrals and Allocations Administration
Contract length: Fixed-term 12‑month maternity cover, with scope for a permanent position.
Hours: 35 hours per week, Monday to Friday 9-5

About the role
We are looking for a Referrals and Allocations Administrator to provide reliable, organised support during maternity cover. The role ensures that referrals are processed smoothly, in a timely manner, counsellors receive the correct allocations, and clients experience an efficient service.
Key responsibilities
- Managing incoming referrals across our contracts.
- Allocating referrals to counsellors accurately and in line with contract requirements.
- Updating our portal and other internal systems like spreadsheets etc.
- Monitoring allocation queues and following up on any delays.
- Responding to email enquiries from clients, advisors and counsellors.
- Producing updated reports (Excel) weekly and monthly to our providers.
- Supporting the wider operations team with administration tasks.
- Maintaining accurate records and reporting any issues promptly.
- Posting approved updates on LinkedIn and keeping website content up to date (news items, pages, and simple edits).
Skills and experience
- Strong administrative experience.
- Confidence using digital systems.
- Good written communication and clear email manners.
- Ability to prioritise tasks and work independently.
- Comfortable working remotely with regular check-ins.
- Ideally experience working with NHS partners or in an NHS setting.
- Useful marketing skills, including LinkedIn posting and basic website updating.
