Overview

Southern Housing is on the lookout for a Buildings Document Controller to join our Building Safety team on a Fixed Term Contract (concluding in January 2027). This is an exciting opportunity for someone with previous document and information management experience in a property/construction background to be part of a high performing and supportive team. Reporting to the Document Controller & Systems Manager, you will work to defined policies, processes and procedures that support the Southern Housing Information Management function and ensure effective and secure document management processes for building information management across Building Safety transformation programme priorities in compliance with Building Safety Golden Thread requirements and relevant British Standards (BSIs) and ISOs.

Applicants should have proven experience in building control administration, demonstrating a solid understanding of regulatory compliance and documentation processes.

This role will be based at our office in Farringdon, London; travel to other main offices may be required. Specific arrangements will be discussed and agreed with your line manager.

What you’ll be doing

  • Ensure that paper assets are properly arranged and sorted accordingly using Southern Housing classification.
  • Ensure that paper documents are correctly scanned and saved to the correct repositories.
  • Ensure that scanned documents are properly named with prescribed metadata.
  • Ensure that processed paper documents are returned to inventory and stored correctly for easy identification and retrieval.
  • Completing Building Safety Checklists for our physical building assets.
  • Prepare and submit monthly project status reports to the Head of Regulatory Change.
  • Ensure that stipulated scanning procedures and processes are always adhered to.

What you’ll need

  • Experience using Electronic Document Management Systems such as Oracle Aconex, or Viewpoint.
  • Knowledge of ISO 19650-2:2018
  • Strong and verifiable experience as a Document Controller
  • Strong understanding of relevant Building Safety legislation and the Golden Thread
  • Experience of excellent stakeholder engagement
