Provide high quality administrative and secretarial support to the hospice clinical and medical teams to ensure the smooth and efficient operation of the services. Working collaboratively and liaising with healthcare professionals, families, and external contacts you will be key in providing a professional and compassionate service provision. You will manage and coordinate an efficient support provision for both your immediate team and wider Group teams.

Essential Criteria

  • Be a primary point of contact for clinical information, triaging, prioritising, signposting and provide day to day advice, response, solutions, guidance and feedback on specific tasks, issues, or activities on the basis of your own knowledge or experience.
  • To provide a primary point of telephone contact for patients and families, managing a range of enquiries which may be complex or distressing ensuring communication is clear, respectful and empathetic.
  • Respond to and proactively resolve difficult queries from all internal and external stakeholders and processes of work, escalating where necessary.
  • Work in a shift pattern across the week to ensure continuous administrative cover to the clinical teams.
  • Input and coordinate the referral process to the hospice and internal services.
  • Liaise with GPs, hospital consultants, and other healthcare professionals.
  • Obtain information to enable the triage and review process.
  • Manage the update and closure of referrals.
  • Maintain accurate and up to date electronic patient records, giving high attention to detail, ensuring confidentiality and sensitivity in handling of all documentation and information.
  • Handle highly sensitive data and process this in compliance with the data protection regulations.
  • Work with the database administrator in the administration, management, and development of the electronic patient record database, assisting with providing support and training in its use to clinical and medical teams.
  • Responsible for the management of access to the electronic patient record database, setting up new joiners, leavers and password reset.
