About the Role
We are looking for a highly organized and proactive Estates Administrative Assistant to join our Estates Management team. This is a fantastic opportunity to play a key role in supporting the day-to-day operations of a busy and collaborative department, ensuring the smooth running of property and estates-related activities across the business. You will be central to maintaining accurate data, managing internal communications, and supporting key processes that underpin our estates function.
Key Responsibilities
- Provide comprehensive administrative support to the Estates Management team
- Maintain and update the Estates database, ensuring data accuracy at all times
- Act as a key point of contact, facilitating communication between internal teams and external stakeholders
- Manage the Estates issue ticketing system, triaging and allocating queries appropriately
- Support the processing of estates-related invoices and payments
- Attend meetings and produce clear, structured notes
What You'll Be Doing
- Carrying out a variety of administrative tasks to support team operations
- Preparing reports and assisting with data collection and analysis
- Maintaining spreadsheets across different property portfolios
- Managing incoming calls and queries via the Estates function
- Liaising with external contractors, consultants, landlords, and legal professionals
- Supporting file management and post‑completion administration
About You
We're looking for someone who is:
- Highly organized with strong attention to detail
- A confident communicator with excellent written and verbal skills
- Proactive, adaptable, and able to manage multiple tasks effectively

- Comfortable working both independently and as part of a team
Skills & Experience
- Strong proficiency in Microsoft Office (Excel, Word, Outlook)
- Previous administrative experience (essential)
- Experience with ticketing systems or property management tools (desirable, not essential)
- Exposure to Estates, Property, or Legal environments (advantageous but not required)
