We are currently looking for a Design Studio Assistant to join our Design & Brand team on a full time permanent contract. As the Design Studio Assistant, you will be the backbone of the studio's project processes, handling day-to-day administrative tasks to keep projects flowing smoothly. You will be instrumental in the print commissioning process, acting as the primary point of communication between our design team, our colleagues, and our suppliers.
Key Responsibilities
- Executing the administrative steps of the print commissioning process, including daily communication with print and signage suppliers, requesting print quotes, sending artwork files, securing proofs, and coordinating delivery and installation.
- Generating Purchase Orders (POs) using internal clients' budget codes and tracking invoices for payment, in coordination with the Design Studio Manager.
- Updating and tracking job progress in the project management tool, Asana.
- Responding to general enquiries to the Design Studio inbox where necessary, and directing stakeholders to the correct designer or member of the team.
- Assisting in the freelance process, including setting freelancers up on our finance system, amending and sharing contracts, and sharing design files.
Skills & Experience
- Able to demonstrate a methodical and accurate approach to administrative tasks and a fastidious attention to detail.
- Demonstrable communication and interpersonal skills, with the ability to communicate clearly and professionally with external suppliers and internal stakeholders.
- Well-organised with demonstrable time management skills and ability to manage a variety of tasks simultaneously.
- Able to work quickly and accurately on multiple tasks in a busy environment.
- Proficiency in using the Google Suite (or transferable knowledge from other administrative software) for email, document creation, and data management, and experience using or a willingness to learn a project management tool such as Asana.
