In this role you will input, record, check and maintain road traffic collision reports, using various SYP IT systems. You will also review and respond to incoming correspondence including the disclosure requests for Police Reports & all other relevant material.

Location: Operations Complex, Tinsley, Sheffield

Key Responsibilities
  • Input, record, quality assure and maintain road traffic collision reports, using various SYP IT systems (including PRONTO, CRASH, CONNECT and SMART Contact).
  • Assess each collision record and decide whether to allocate to a police officer for further investigation or finalise where there are no lines of enquiry.
  • Monitor timely and accurate completion of RTC investigations, liaising with Police Officers across the Force, to obtain relevant information and evidence and, where required, provide updates to involved parties (via phone, letter, email).
  • Process outcomes for drivers including driver awareness courses, build prosecution case files in line with CJU guidelines and complete quality assurance.
  • Ensure excellent public service delivery by responding promptly to enquiries from the public, Police staff and external organisations, ensuring any information is provided in compliance with GDPR and MoPI guidelines.
  • Liaise with internal and external stakeholders to ensure safe and accurate sharing of information relating to RTCs (inc Roads Policing Group, Serious Collision Unit, Criminal Justice Unit, Forensic Collision Unit, Crown Prosecution Service, Local Authorities).
  • Research, interrogate, collate, and evaluate information from all Force systems (including DEMS, Connect, Pronto, Crash, Smart Contact, etc) to identify relevant information for consideration of disclosure under the GDPR 2018.
  • Review police information including digitally recorded evidence (which can be sensitive / graphic) for consideration of disclosure and undertake necessary work to redact personal/sensitive information, applying relevant exemptions to justify non-disclosure (i.e. risk of harm / public interest tests).
  • Facilitate and assist in arranging interviews between Police Officers and third-party organisations in line with relevant legislation, guidelines and timescales as required.
  • Review archived files to ensure retention/destruction in compliance with MOPI guidelines.
Skills and Experience
  • Good communication skills by a variety of means including telephone and keyboard.
  • Good organisational skills and ability to work under pressure.
  • Good IT skills and knowledge of Microsoft applications.
  • Ability to cope with working with a distressing subject matter.
