Working in a small team as a Prosecutions Administration Clerk, you will promptly and efficiently deal with customer queries and carry out the administrative tasks and processes related to Penalty Fare Notices, Unpaid Fares Notices and Prosecution Reports.
Your main responsibilities will be:
- Supporting customer queries relating to prosecutions cases through promptly answering telephone calls and emails.
- Producing and processing paperwork, penalty fares, unpaid fares notices, prosecutions settlements as directed by the Prosecutions and Fraud Manager or nominated deputy.
- Collate relevant documentation and maintain relevant systems related to prosecutions cases as required.
- Facilitate payments on a daily basis, ensuring all monies are taken and accounted for appropriately and in line with the SWR cash regulations.
- Ensure all information and paperwork is collated/stored and recorded/stored in line with GDPR.
- Escalate complex cases to a Prosecutions Case Officer for further enquiry.
- Undertake any specific tasks as directed by the Prosecutions and Fraud Manager or nominated deputy.
As a minimum, you will need to have:
- Strong administrative background.
- Excellent communication skills both written and verbal.
- Excellent attention to detail.
- Confident in conflict resolution.
- Adaptable and flexible in line with business needs.
- Able to use initiative and work well individually and as part of a team.
- Proficient in Microsoft Office.
- Willingness to learn new systems.
- Previous experience of using CRM databases would be advantageous.
- An understanding of ticketing, restrictions, and validities would be desirable but not essential.
About the location
Overline House is conveniently situated overlooking Southampton Central Station and is easily accessible by public transport. The station is very local to West Quay, a hub for retailers and restaurants, and provides an excellent link between London, Coastal areas and the Isle of Wight.
Working pattern
Working an average of 37 hours per week over 5 days
Monday to Friday, earliest start time 0800, latest finish time 1800.
Weekend working possible, depending on workload and at the request of manager.
