We are looking for an enthusiastic and organised administrator to join our Medicines Management Team within Leamington Primary Care Network. This is an exciting opportunity for someone with strong communication and coordination skills who enjoys working within a fast‑paced healthcare environment. The successful candidate will play a key role in supporting the Medicines Management and wider ARRS teams, helping to ensure effective coordination across GP practices, pharmacies, care homes, and multidisciplinary healthcare professionals.

SWGP Federation is made up of GP practices from areas including Warwick, Leamington, Stratford‑upon‑Avon, and Kenilworth. We work together to deliver enhanced services for the 300,000 patients we cover, as well as improving working practices for our staff. We are proud to offer high levels of patient care across South Warwickshire. Our purpose is to grow, support and enable Primary Care in South Warwickshire by offering additional services and enabling individual practices to focus more time on delivering patient care.

Job responsibilities:

  • Coordinating and managing clinical sessions within EMIS
  • Supporting rota coordination, annual leave management, inductions, and account management for ARRS staff
  • Managing shared inboxes, phone lines, and triaging requests to the appropriate team members
  • Coordinating communications to surgeries, pharmacies, and care homes
  • Supporting PCN meetings, shared documents, and workflow processes
  • Creating EMIS patient searches and supporting project coordination
  • Working closely with Frailty and Medicines Management teams to support ward rounds
  • Supporting patients with navigation of pharmacy and healthcare services
  • Assisting patients and carers with information, signposting, and care coordination
  • Monitoring, archiving, and reporting data where required
  • Liaising with pharmacies to support safe and cost-effective medication ordering
  • Supporting EMIS online registrations and proxy access for care homes
  • Building positive relationships with healthcare professionals across the PCN

Person Specification:

  • Experience within a pharmacy, GP practice, or healthcare environment
  • Experience supporting patients, carers, or healthcare professionals
  • Strong IT and administrative skills
  • Experience with data collection and reporting
  • Ability to manage competing priorities and deadlines
  • Excellent organisational and time management skills
  • Excellent communication skills, both written and verbal
  • Highly organised with the ability to prioritise workload effectively
  • Confident using IT systems and administrative software
  • Proactive, adaptable, and able to work under pressure
  • Experience working within a pharmacy or GP setting
  • Confident working collaboratively within multidisciplinary teams
  • Demonstrate empathy and a patient‑centred approach
  • Motivated and able to work independently or as part of a team
  • Experience using EMIS Web and Docman 10
  • Experience with Microsoft Teams, Excel, Word, and Canva
  • Experience supporting projects or workforce planning
