We are looking for an organized and experienced Medical Secretary to join our busy GP Surgery team.
The ideal candidate will have a strong understanding of medical terminology, excellent interpersonal skills and be proficient in EMIS clinical systems.
To provide general secretarial support to the practice manager, doctors and health professionals, involving word processing skills with general clerical and administrative work over two sites.
Main duties of the job
- To provide an efficient copy typing and word processing service for GPs and health professionals as required. This includes the typing of letters, reports, patient referrals, etc. in an accurate and quality manner.
- Organise and manage patient referrals
- To retrieve medical records and assist the completion of medical/insurance records.
- File patient records and correspondence in patient medical records using DOCMAN.
- To receive incoming and initiate outgoing telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries.
- To maintain two week wait register in an accurate and secure manner.
- To assist with the gathering of statistics and information when required.
- To provide cover for members of the administration and reception team during periods of sickness and annual leave.
- To receive and dispatch mail and maintain a robust system.
- Schedule patient appointments and procedures
- Prepare and maintain patient medical records

Our friendly, professional and experienced GPs, extended range of HCPs and administrative teams offering a wide range of clinical services.
We are seeking an enthusiastic Medical Secretary. This position is to provide secretarial and administrative support to the GPs, clinical staff and practice manager. We are looking for someone with attention to detail, good time keeping and organisational skills with a proven ability to manage and deliver complex administrative tasks with competing workloads and sometimes to short deadlines. Have excellent written and oral communication skills and strong interpersonal and team-working skills with a proven ability to make sound independent decisions based on knowledge and expertise. This role will also include providing cover for members of the administration and reception team when required. It is a busy and varied role so you will need to be adaptable & flexible.
Job responsibilities

To assist the practice manager with all clerical and administrative duties.
To establish and maintain filing and administrative systems so that written or computer information is easily accessible and secure.
To retrieve medical records and assist the completion of medical/insurance records.
File patient records and correspondence in patient medical records.
To receive incoming and initiate outgoing telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries.
To maintain two week wait register in an accurate and secure manner.

To provide cover for members of the Secretarial, Administration and Reception team during periods of sickness and annual leave and other times when called upon.

Qualifications
- Minimum 1-year Medical Secretary experience
- Proven experience in a GP/NHS department environment would be highly desirable.
- Educated to high standard of GCSE in Maths & English language
- Strong IT skills in MS Word, Excel and Outlook. Knowledge of Emis is desirable.
- To have tact and diplomacy in direct and indirect emotional circumstances
- Able to get on with others and be a team-player in a sometimes, pressurised and time-sensitive environment
