We are looking for a part‑time Receptionist/Administrator to join our friendly GP practice based in Rainham. The vacancy is a part‑time position, 10‑15 hours a week and you will be required to work between the hours of 08.00 and 18.30 Monday to Friday. Previous experience of working in a GP surgery is desired but not essential as full training for the role will be provided. A knowledge of EMIS Web clinical system is preferred but not essential.

Main duties of the job

  • The role includes both reception and administration work including being the first point of contact for all patients, booking appointments, answering the telephone, processing prescription requests, dealing with queries, scanning, filing and registering new patients.

Job responsibilities

  • Develop and maintain effective working relationships with all other employees and contractors at the Practice.
  • Support and uphold an open, positive and honest working culture.
  • Answer the telephone to enquiries and make outgoing calls to patients and other agencies as required.
  • Greet patients in person, working to put them at ease and giving any explanations within your competency.
  • Make and change appointments as required.
  • Use email to communicate with patients and other agencies.
  • Keep the reception and waiting areas in a smart and orderly fashion.
  • Work with the practice information recording systems and computer systems in maintaining clinical records.
  • Handle payments to the practice by cash and log in petty cash book.
  • Keep records of financial transactions.
  • Keep records of PPG members.
  • Action requests for medical records from insurance firms and other organisations.
  • Ensure online training is up-to-date and policies are reviewed regularly.
  • Report all significant events, including near misses for inclusion in the practice Risk Register.
  • Practice the highest standards of confidentiality when dealing with all aspects of patient information.
  • Participate in activities required to assess compliance with CQC Fundamental Standards.
  • Participate in the maintenance of a Practice Complaints System, and in resolving complaints, and in improving service.
  • Use all equipment in accordance with published instructions and guidelines.
  • Report to the Practice Manager any faults or safety worries with equipment and the premises.
  • Opening and distribution of practice post.
  • Liaise with secondary care providers and arrange transport as necessary.
  • Dealing with repeat prescription requests.
  • Assisting patients with registrations and processing the paperwork.
  • Dealing with all incoming and outgoing patient notes.
  • Filing all patient information in electronic and/or paper records.
  • Maintaining up to date patient medical records when required.
  • Daily preparation of Doctors rooms and other clinics.
  • Ensuring Doctors surgeries are stocked with the necessary paperwork and forms to enable their surgeries to proceed without interruption.
  • Maintaining and encouraging adequate security measures, ensuring all clinic rooms are locked when not in use.
  • Liaising with attached staff, including Health Visitors, District Nurses, Midwives, Counsellors, etc. as required.
  • Supporting and encouraging other members of the Practice team.
  • Maintaining the Health and Safety of all staff, patients and visitors.

Person Specification

  • GCSE grade A to C in English and Maths.
  • Previously worked in a GP surgery.
  • Knowledge of EMIS Web clinical system.
