The Program Assistant I supports the College of Arts & Sciences by enhancing processes, ensuring fiscal responsibility, and providing guidance to department staff and senior secretary positions in Nursing and Science & Math. The role is based in a typical office environment, Monday through Friday, 8 am to 5 pm.
General Duties
- Assist Arts and Sciences with daily operations such as purchasing, scheduling, budgets, travel processes, and related administrative activities.
- Manage data and information collection to ensure compliance with state policies, regulations, and accrediting bodies.
- Oversee budget functions related to semester operations, daily activities, monthly revenues and expenditures, and strategic initiatives.
- Support the strategic efforts of the College, including recruitment, retention activities, and collaboration with the public.
Specific Duties
- Evaluate and create efficiencies in daily processes and procedures, developing datasets and reporting for program-level decision making.
- Collect and analyze faculty and staff data, ensuring standards meet state regulations and accreditation requirements, and disseminate information appropriately.
- Use SDBOR systems such as Banner to monitor weekly and monthly budget activity, ensuring the College remains within budget and requesting funds as needed.
- Build and manage new outreach programs and college-wide initiatives, assisting faculty and staff in developing student-engagement activities.
Knowledge, Skills, and Abilities
- Knowledge of office procedures, record-keeping, policies, and programs applicable to the office.
- Ability to train subordinates, monitor performance, and interact effectively with faculty, staff, students, and the public while maintaining confidentiality.
- Proficiency with various office equipment, computer usage, and software programs.
- Skill in data analysis and management within Arts and Sciences data systems.
