South Coast & Port Services have an exciting opportunity for a Payroll Officer to join the team in Stanford-le-Hope at DP Worlds Port.
MAIN DUTIES/RESPONSIBILITIES
- Completing monthly payroll for the Terminal Operatives, ensuring all employees are paid correctly and on-time (5th of the Month).
- Pay forecasting – Compiling comprehensive cost forecasts for the senior management team and customers finance department, prior to the end of month payroll run.
- Monitoring and collating the employees bonus scheme, inputting figures, queries and liaising with the customer to ensure all figures are correct.
- Ensuring the office-based employees are GDPR compliant.
- Provide support and assistance to the office-based employees, monitor, and maintain all spreadsheets used, ensure updates are implemented efficiently, and confirm users are kept informed of the changes.

TASKS PAYROLL
- Creating payroll.
- Responsible for ensuring that labour allocation and the payroll files are created, are accurate and up to date in line with what employees are working and being paid.
- Producing data spreadsheets for LG division.
- Ensure that all allocations on hours, absence, pay rates and additional payments are accurate.
- Checking timesheets and that they match with the inputted data ensuring employees are on the correct pay rates / sick pay rates.
- Ensuring that individuals are on the correct rate of pay (Liaising with HR and Operations).
- Calculating Bonus for operational employees.
- Liaising with the DPWLG SOS team to establish eligibility for shipside bonus.
- Calculating landside bonus.
- Calculating and managing BCP Bonus.
- Providing accurate invoice data to Head Office and Customers.
- Liaising with head office to ensure that cost centre reports are accurate before final invoices are issued.
- Ensuring that these are sent in a timely manner.
- Establishing correct bill rates.
- Providing customers with accurate breakdown of costings.
- Generating ideas on how to change and improve current patterns and calculating costs accordingly.
- Creation of and amendments to Forms, Timesheets etc.
GENERAL:
- Identifying where there are problems and making recommendations to improve current systems to make them more user friendly and more efficient.
- Carrying out regular checks on all aspects of payroll and labour allocation ensuring that everything is accurate, fair, and consistent.
- Produce statistics and reports as requested and required by SCPS and its customers.
- Dealing with pay enquiries from employees and dealing with any discrepancies.
- Answering correspondence re: Reference letters, Mortgage Applications, Claims etc.
- Attending meetings as and when directed.
- Processing statutory sick, maternity, and paternity pay.
- Main point of contact for payroll queries for SCPS Management, employees, and customers.
- Sending headcount reports to Senior Management team monthly, to include headcount, absence, hours worked, any temporary adjustments to pay rates etc.
- Producing reports as requested by the Senior Management team e.g., headcount, absence, working hours and work accidents/incidents.
- Refer any/all HR issues to the HR department.
MUST HAVE REQUIREMENTS:
- Full driving license.
- Reliable, a team player and ability to work within a small team.
- Ability to work on own initiative.
- Administration skills, ability to communicate.
- Organised.
- High level knowledge of Excel.
- Experience in using SAGE would be highly desirable.
