Position: PROJECT LEAD INCOME TAX CLINIC- NEWTON (Coordinator)

Location: Newton Surrey and outreach activities within the community

Hours: 24H/week for 18 weeks

Salary: $26.78/h

Start Date: February 1st 2026.

We are looking for a PROJECT LEAD INCOME TAX CLINIC- NEWTON to join our Community and Volunteer Services Program team! The ideal candidate is a highly organized individual with strong experience and knowledge of the Canadian tax system. This role requires excellent coordination skills, attention to detail and the ability to work collaboratively with staff, volunteers and community partners. Has a valid Class 5 Drivers License.

Description of Position:

  • Supervise and diligently coordinate the day-to-day operations of the Income Tax Clinic under the CVITP program.
  • Efficiently manage and synchronize activities across income tax clinic locations ensuring smooth service delivery during peak times.
  • Recruit, train and schedule volunteers with a focus on CVITP-specific knowledge to ensure optimal coverage for the Income Tax Clinic.
  • Proficiently utilize and maintain the volunteer management database (Better Impact) to track volunteer engagement and ensure efficient scheduling.
  • Organize and lead continuous volunteer training sessions including CVITP program updates, software use and tax preparation protocols along with recognition initiatives.
  • Address and resolve volunteer and/or client issues documenting relevant information to ensure program accountability and quality assurance.
  • Maintain and regularly update the Income Tax inventory database including all necessary CVITP tools and resources.
  • Actively promote volunteerism in the community emphasizing the impact of the CVITP and tax assistance programs.
  • Maintain accurate statistics on tax clinic performance and generate comprehensive reports as required for internal and external stakeholders.
  • Prepare and submit detailed monthly reports summarizing clinic performance, volunteer hours, client statistics, key challenges and outcomes ensuring data-driven insights for program improvement.
  • Stay updated with changes in tax policies and CVITP requirements to ensure the clinic provides accurate and up-to-date services.
  • Undertake any other duties deemed necessary for the smooth functioning of the program including outreach initiatives and collaboration with community partners.

Program-specific Responsibilities:

  • Oversee coordination, scheduling and training of volunteers with a focus on the Income Tax Clinic to ensure smooth support for both volunteers and clients.
  • Manage volunteer and client schedules to ensure the effective operation of the Income Tax Clinic and other volunteer-supported programs.
  • Participate in the recruiting process for volunteers.
  • Actively participate in quality improvement and evaluation efforts to enhance program outcomes and client satisfaction.
  • Prepare monthly reports for the Income Tax Clinic to maintain transparency, accountability and effective program monitoring.
  • Engage in ongoing learning about Indigenous histories, cultures and perspectives applying this knowledge to foster inclusivity in the workplace.
  • Create a safe, welcoming and inclusive atmosphere addressing discrimination, harassment or behavior contrary to principles of diversity, equity, inclusion and belonging.
  • Represent Sources with clients, families, the public, other organizations and government bodies actively promoting its mission and objectives.

Qualifications:

  • Diploma or equivalent proven experience in a related field.
  • Demonstrated experience in a related field preferably in a non-profit setting with knowledge of community engagement and volunteer management.
  • Experience in scheduling, coordinating and operating within the CVITP (Community Volunteer Income Tax Program) framework is required.
  • Strong ability to maintain open and direct communication with clients, volunteers and team members. This includes clear expression both orally and in writing.
  • Deep understanding of issues related to poverty, trauma and marginalization with the ability to address sensitive client matters tactfully and non-judgmentally.
  • Proven ability to relate to individuals across all socioeconomic backgrounds, sexual orientations, gender identities and cultural groups employing a lens of inclusivity, poverty awareness and trauma-informed care.
  • Flexibility, adaptability, initiative and creativity in meeting the unique needs of the program.
  • High level of precision, attentiveness and organizational skills to manage multiple deadlines, interruptions and time-sensitive tasks effectively. Must excel in prioritizing urgent work.
  • Capacity to collaborate effectively with others while also working independently to manage tasks and meet deadlines.
  • Proven crisis resolution skills and the ability to navigate challenging or high-stress situations calmly and effectively.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and other relevant platforms including Better Impact and Smartsheet.
  • Experience in volunteer scheduling and management with a strong emphasis on CVITP operations.
  • Ability to successfully pass a Criminal Record Check including a vulnerable sector check.
  • Non‑violent Crisis Intervention Training is considered an asset.
  • Occupational First Aid certification is considered an asset.
