Executive HR Assistant

Bracknell

Circa £40,000 per annum + Excellent Benefits

Monday to Friday, 9.30am - 5.30pm

We are delighted to be recruiting on behalf of our client for an experienced and highly organised Executive HR Assistant to join their professional and friendly team based in Bracknell.

Reporting directly to the HR Director, you will provide comprehensive HR administrative support whilst also acting as Executive Assistant to the CEO. In addition, you will support Health & Safety and Facilities activities across the business of approximately 130 employees.

This is a highly visible and varied role requiring exceptional diary management, strong stakeholder engagement skills and the ability to manage multiple priorities in a fast-paced environment. The successful candidate will be proactive, organised, technology-minded and comfortable supporting senior leaders while driving administrative excellence across the business.

Key Responsibilities:

Executive Assistant Support to CEO

  • Extensive and complex diary management for the CEO, ensuring effective use of time and alignment to business priorities.
  • Managing competing demands and coordinating a constantly changing schedule.
  • Acting as a trusted gatekeeper and key point of contact for the CEO.
  • Arranging domestic and international travel for the CEO and various teams across the business.
  • Managing complex travel itineraries, accommodation, transport, visas and last-minute changes.
  • Coordinating meetings, preparing agendas and supporting documentation.
  • Supporting Board and Senior Leadership Team meetings.
  • Preparing presentations, reports and business correspondence.
  • Managing confidential and sensitive information with the utmost discretion.
  • Building effective relationships with internal and external stakeholders.

HR Administration

  • Providing comprehensive administrative support to the HR Director and wider HR team.
  • Supporting recruitment administration, including interview scheduling and candidate communications.
  • Coordinating onboarding and offboarding activities.
  • Maintaining employee records and HR systems.
  • Producing HR reports, correspondence and documentation.
  • Supporting employee engagement initiatives and internal communications.
  • Assisting with HR projects and continuous improvement activities.
  • Ensuring compliance with GDPR and company policies.

Health & Safety

  • Coordinating Health & Safety administration and compliance activities across approximately 130 employees.
  • Maintaining Health & Safety records, audits and documentation.
  • Supporting risk assessment processes and workplace inspections.
  • Assisting with emergency procedures and health and safety initiatives.
  • Liaising with external providers and contractors as required.
  • Promoting a safe and compliant working environment.

Facilities Management

  • Coordinating office facilities and maintenance requirements.
  • Managing relationships with suppliers, contractors and service providers.
  • Supporting workplace improvements and employee wellbeing initiatives.
  • Monitoring office standards and ensuring a professional working environment.
  • Assisting with office moves, space planning and facilities projects where required.

Skills & Experience Required

  • Previous experience in an Executive Assistant, Senior Administrator, HR Assistant or similar role.
  • Significant experience supporting senior leaders, ideally at CEO or Director level.
  • Exceptional diary management experience with responsibility for complex and demanding calendars.
  • Experience arranging domestic and international business travel.
  • Strong HR administration experience.
  • Experience managing confidential and sensitive information.
  • Knowledge of Health & Safety administration and facilities coordination.
  • Excellent organisational and prioritisation skills.
  • Strong stakeholder management skills with the confidence to interact at all levels.
  • Excellent verbal and written communication skills.
  • Strong attention to detail and ability to manage multiple tasks simultaneously.
  • Advanced Microsoft Office skills including Outlook, Word, Excel and PowerPoint.
  • Experience using AI tools such as Microsoft Copilot, ChatGPT or similar technologies to improve productivity, streamline administration, create business documentation and support process improvements.
  • A genuine interest in technology and identifying opportunities to improve business efficiency through AI and automation.
