THE ROLE The Temporary Coordinator provides essential project-based support to the Collection Sales Management team, working closely with the wider team to help deliver valuations and manage sale-related activity. This role is highly collaborative and operational, supporting complex projects by coordinating logistics, tracking data, and ensuring momentum across multiple workstreams.
RESPONSIBILITIES
- Work with the team on a project-by-project basis to support valuation and sale initiatives at the discretion of Head of Collection Sale Management.
- Assist in coordinating Specialists, particularly for complex meetings involving multiple departments or stakeholders.
- Support travel and logistics planning to ensure projects move forward efficiently.
- Track lists, presentations, and project materials, including maintaining slides and supporting data analysis.
- Work in conjunction with the team to monitor progress, deadlines, and next steps across active projects.
- Liaise with internal teams to gather information, follow up on actions, and ensure alignment across departments.
- Input data into the Valuations system, proof and update it as necessary and ensure valuation documents are produced to the highest standard of accuracy.
- Accompany team members on client visits, as and when required.
- Provide general administrative and coordination support to help keep projects organized and on schedule.
- Maintain complete client confidentiality at all times, adhering to GDPR requirements, and all internal compliance surrounding clients and personal information.
- Provide excellent levels of client service in line with corporate standards, acting as an ambassador for Sotheby’s.
IDEAL EXPERIENCE & COMPETENCIES
- A minimum of 2 years’ practical administrative experience at an international auction house is required.
- Have a background in art history, or an interest and willingness to learn about fine and decorative art.
- Educated to graduate standard, ideally with a BA or MA in the History of Art.
- Be computer literate (MS Excel, Word and Power Point; Photoshop desirable), advanced Excel skills are essential.
- Practical knowledge of the Sotheby’s systems would be an advantage.
- Knowledge of Sotheby’s services, corporate culture and departments is essential.
- Fluent English (oral and written) is essential, a second European language would be an advantage.
- Ability to communicate professionally and confidently, both verbally and in writing.
- Strong organizational and coordination skills, with the ability to manage multiple tasks simultaneously.
- Confidence working with data, tracking lists, and preparing presentation materials.
- Excellent communication skills and the ability to work effectively with specialists and senior stakeholders.
- Proactive, detail-oriented, and comfortable working in a fast-paced, project-driven environment.
- Experience supporting complex projects or teams with multiple stakeholders is desirable.
