Salary: £37,500 per annum

Contract Type: Full‑time and Permanent (35 hours per week), Monday–Friday

The Study Trips and Visa Coordinator plays a central role in supporting the delivery of exceptional academic experiences across Sotheby’s Institute of Art’s four Master’s programmes. This position ensures the smooth planning, administration and delivery of UK and international study trips - an integral part of the learning journey for students pursuing advanced study in Art Business, Luxury Business, Historic Art and Design, and Contemporary Art.

Sotheby’s Institute of Art, located in the heart of Bloomsbury, has been at the forefront of arts education since its founding by Sotheby’s Auction House in 1969. Today, the Institute offers academically rigorous, industry‑focused programmes validated by The University of Manchester, a member of the prestigious Russell Group. The Institute is part of Edconic, a global education group that partners with leading brands and institutions to deliver experiential learning across campuses in London, New York, Madrid and online.

Working closely with Programme Directors, faculty and the MA Administration team, the Study Trips and Visa Coordinator will manage all logistical aspects of study trips - from sourcing travel and accommodation to preparing itineraries, materials and risk assessments. The role also supports essential visa‑related processes, ensuring accurate attendance monitoring and compliance with UKVI regulations, and assisting students with documentation for Schengen visas when required.

The ideal person for this role will be an experienced travel coordinator with a background in an education environment and a strong understanding of large‑group travel and residential bookings abroad. They will be organised, thorough and confident managing multiple projects simultaneously. Knowledge of international student visa compliance regulations is highly desirable, alongside excellent communication skills and the ability to build effective relationships with students, colleagues and external partners.
