We are seeking a highly organised and proactive individual to support the COO of a single-family office, while also providing assistance to the family, Chairman and Senior House Manager as required. This is a varied, hands-on role that would suit a strong generalist who enjoys working across administration, operations, coordination and family office support. No two days are the same, and the successful candidate will be comfortable managing multiple priorities, solving problems independently and adapting to changing needs. Candidates with previous family office, private PA, office management or executive support experience will be particularly well suited to this opportunity. A background in accounting or finance, or experience working with budgets and financial administration, would be advantageous but is not essential.
Hours: 9am–5pm
Location: Near Newbury
Salary: Dependent on experience
Start Date: ASAP
Responsibilities include, but are not limited to:
- Supporting the COO, family, Chairman and Senior House Manager as required
- Managing telephone and reception duties, including visitor management and arranging taxis
- Coordinating contractors onsite, including security notifications and NDAs
- Liaising with satellite offices and associated teams
- Managing office diaries and annual leave records
- Handling post, correspondence, invitations, couriers and related errands
- Supporting onboarding, recruitment research and HR administration
- Maintaining filing systems and document management processes
- Taking weekly departmental meeting notes
- Coordinating first aid supplies, training and related courses
- Managing stationery, office supplies and sundries
- Assisting with overseas property shipments and special projects
- Supporting household budgets across multiple properties
- Processing expenses and maintaining accurate records
- Assisting with staff events, Christmas gifts and family-related occasions
- Managing vehicle administration, including insurance, road tax, MOTs and breakdown cover
- Supporting archive management and asset tracking
Requirements:
- Previous experience in a family office, private PA, office management, executive support or similar role
- Excellent computer literacy, including Outlook, Word (including Mail Merge) and Excel
- Accounting or financial background, or experience working with budgets
- Strong organisational skills and attention to detail
- Excellent communication and interpersonal skills
- Ability to manage multiple priorities and work independently
- Professional, discreet and trustworthy approach
- Full UK driving licence
