Our client is seeking an exceptional Private Lifestyle & Travel Assistant to provide seamless, high-touch support to the Founder of a Global Advisory firm. This role blends refined lifestyle and hospitality management with personal scheduling and organizational support. It requires discretion, adaptability, and the ability to anticipate needs in both personal and professional settings.
The position is based primarily between London and the Middle East, with annual travel to France, Spain, New York, and Los Angeles. The successful candidate will travel frequently with the Founder, ensuring a flawless standard of organization, comfort, and execution wherever she is in the world.
Hours:-Full-time with flexibility to work out of standard office hours and to different time-zones

Responsibilities include, but not limited to:
Personal Calendar & Coordination
- Manage Founder\โs personal calendar, including all private appointments, wellness, medical, beauty, and lifestyle commitments across multiple cities.
- Work in close partnership with the Executive Assistant, who oversees all business scheduling, meeting preparation, and professional commitments.
Executive & Administrative Support
- Reply to emails on behalf of Founder as directed, ensuring tone and discretion are maintained.
- Organize meetings, appointments, and personal calls, including scheduling, reminders, and securing reservations.
- Handle sensitive personal and professional correspondence with utmost confidentiality
Travel & On-Site Support
- Travel extensively with the Founder, primarily between London, the Middle East, and seasonal travel to France, Spain, New York, and Los Angeles.
- Arrange and oversee all travel logistics: flights, hotels, visas, drivers, and ground transport.
- Manage packing, luggage preparation, and wardrobe care in coordination with housekeepers and other staff; unpack and set up belongings on arrival.
- Oversee hotel suites, rental homes, and private residences, ensuring an organized and welcoming environment.
- Ensure all grocery shopping and provisions are purchased and in place prior to principal\โs arrival at residences or hotels.
- Act as on-site coordinator: managing drivers, household staff, schedules, and service providers during travel.
Household & Lifestyle Management
- Assist with principal\โs residences: bill payments, deliveries, maintenance coordination, and relocations (including shipping and storage).
- Manage household staff, supporting their travel bookings and purchasing needs.
- Ensure consistency in the ordering of products, flowers, and gifts across homes and hotels to maintain the Founderโs preferred standards.
- Shop for personal and professional gifts; maintain a gift calendar for family, friends, and key contacts.
- Source and purchase household items, groceries, and lifestyle provisions, coordinating with staff where needed.
Finance & Administrative Oversight
- Manage receipts and prepare submissions for the finance team.
- Oversee insurance and reimbursement claims.
- Track expenses related to travel and household management to ensure smooth reporting.
Candidates must be / have:
- 5+ years of experience supporting HNWIs, senior executives, or principals in family offices.
- Ideally based in London, though open to other arrangements if the candidate is familiar with and comfortable regularly traveling to manage the London residence.
- Demonstrated ability to manage both personal and private matters with the utmost confidentiality.
- Impeccable organizational and communication skills; poised and polished demeanor.
- Service-minded, culturally adaptable, and internationally experienced.
- Comfortable with frequent and extended international travel.
- Flexible, resourceful, and able to adapt quickly to changing schedules and priorities.
