A highly regarded boutique asset management firm and family office based in London's West End is seeking an experienced Executive Assistant to provide seamless, high-level support to the Chief Investment Officer (CIO). This is a permanent role within a fast-paced, discreet and high-performing environment. You will serve as the primary EA to the CIO, managing all diary coordination, travel, meetings and administrative support, with crossover with the Senior Family Office Executive and the EA to the Senior Partner to ensure seamless coordination across shared activity. The role also offers scope to broaden your involvement across other areas of the business, especially in respect of investor relations and marketing.

Following the combination of two major funds and a recent capital injection, a major relaunch is planned, and the successful candidate will be integral to this process both in terms of document production and interfacing with external marketing groups. Reporting into the CIO, this role will be well suited to a proactive and intellectually curious individual who thrives in a high-trust environment and takes ownership of outcomes.

Hours: 8.30am-5.30pm, Mon to Fri

Location: Mayfair

Salary: Competitive, dependent on experience + discretionary annual bonus

Benefits: 15% Pension Contribution, extensive private healthcare, travel insurance, 25 days annual leave plus bank holidays.

Responsibilities include, but are not limited to:

  • Manage complex and frequently changing diaries and schedules
  • Co-ordinate multi-leg, international business travel for the CIO, Partners, and relevant Board Members
  • Plan and curate personal holiday travel for the CIO and family
  • Provide logistical support relating to the CIO's school aged and adult children
  • Liaise with the Investment team to prepare reports, presentations, and documentation for client and board meetings
  • Provide administrative and coordination support for a new and developing marketing initiative
  • Manage expense claims
  • Oversee domestic logistics and assist with personal administrative matters
  • Provide light out-of-office (OOO) support when needed

Essential Requirements:

  • Significant experience supporting C-suite executives in both professional and personal capacities within a family office, boutique financial services firm, or similarly high-performance environment
  • Exceptional organisational skills with the ability to prioritise and manage multiple workstreams with minimal supervision
  • Highly numerate with strong attention to detail
  • Excellent written communication skills
  • Strong IT proficiency across Microsoft Office, CRM systems and related platforms
  • Proven discretion, professionalism, and ability to handle sensitive, confidential information
  • Calm, confident, and solutions-oriented
  • Collaborative, team-focused, and aligned with an ego-free approach
  • Demonstrated ability to anticipate needs and operate proactively rather than reactively

Desirable:

  • Familiarity with investment, marketing and financial terminology
  • Ability to support and encourage the CIO with adoption of new technologies
