We have an exciting opportunity for a System & Operations Assistant based in our Borehamwood office. The System & Operations Assistant supports the System & Operations Manager by ensuring the smooth operation and maintenance of internal systems. The role involves troubleshooting system issues, maintaining accurate client data, assisting with process implementation, and contributing to system‑related projects that enhance efficiency and compliance.
Other duties and responsibilities include, but are not limited to:
- Assist with New Client Onboarding onto our in‑house systems, including conducting electronic AML identification searches, completing ongoing monitoring, and actioning any changes identified.
- Assist with the implementation, rollout, and staff training of new systems.
- Support the management and maintenance of CCH, Virtual Cabinet, and Fibre CRM.
- Regularly review client records to ensure accuracy, completeness, and compliance with internal policies.
- Maintain client information following Firm's policies and processes.
- Troubleshoot and resolve staff system issues efficiently.
- Assist in compiling, documenting, and monitoring new policies, processes, and procedures.
- Contribute to system upgrade projects and process improvement initiatives.
- Produce operational reports and data extracts to support business needs.
- Any other ad hoc duties assigned by the Manager.
About You
You will enjoy working with people who can work well with others and in turn enjoy working amongst a diverse team of professionals.
- Experience working in an administrative, operations, or systems support role.
- Familiarity with professional services or accountancy environments preferred.
- Knowledge of CRM, Client Database, Document Management Systems (CCH, Virtual Cabinet, Fibre CRM).
- Understanding of process documentation, workflow management, and regulatory compliance.
- Relevant IT, business administration, or operations experience is desirable.
- Training and operational role in system management or data integrity is a plus, but not essential as training will be given.
- Strong IT literacy and ability to learn new systems quickly.
- Excellent attention to detail and accuracy in data management.
- Strong problem‑solving and troubleshooting capabilities.
- Good written and verbal communication skills.
- Ability to work independently and as part of a team.
- Proficient in generating reports and analysing data.
- Proactive and self‑motivated with the ability to take initiative.
- Adaptable and flexible to changing priorities and system upgrades.
