50%: Supporting the Compensation & Benefits team

  • Main point of contact for all UK and ROI benefits – from employee queries to managing systems and payroll related to benefits.
  • The role will also support Wellness and Wellbeing initiatives.

50%: Supporting the Diversity, Inclusion & Talent (D&I) team

  • Day‐to‐day Learning and Development (L&D) activities for EMEA & APAC which will include managing the coordination and delivery of training programs, including scheduling courses, booking rooms, preparing materials, communicating with stakeholders, and maintaining accurate records.

What You'll Do

Compensation & Benefits

  • Main point of contact for UK & ROI benefit‐related queries.
  • Main point of contact for flexible benefits system (Benifex) queries around enrolment, eligibility, setup and reporting.
  • Responsible for managing the Compensation and Benefits team's central mailbox and responding to queries in a timely manner.
  • Benefits administration for payroll purposes, and validation of the data transfer between the benefits system and payroll.
  • Benefits‐related invoice processing, administering invoices, issuing recharge lists and liaising with relevant teams to follow up payments and keep track of spending and possible budgetary changes.
  • Run UK onboarding and monthly induction sessions specific to benefits for new joiners, train new starters on HRIS and payroll system registration process and requirements (Workday & ADP Self Service for payslip access).
  • Coordination of logistics and resources when required for benefits‐related meetings, liaising with suppliers and arranging materials.
  • Administration of the annual flexible benefits window process, inclusive of new vendors set up in Ariba, gathering sign‐offs from legal, new rates validation, UAT testing, promotional activities, employee query resolution and post‐window payroll reports validation.
  • Managing a tracker of regional benefit offering and providers.
  • Partner with benefit providers and payroll to ensure seamless enrolment, data accuracy and support a positive employee experience.
  • Participate in the annual benefit survey submission.
  • Provide administrative data gathering and processing support to the Compensation & Benefits team.
  • General support for ad‐hoc projects undertaken by the Compensation & Benefits team.

L&D/D&I Training Administration

  • Coordinate training schedules, booking rooms, working with Front of House and IT to make necessary arrangements for sessions to take place, whether that be in‐person, hybrid or virtual, and arranging catering where needed.
  • Manage course registration through the SPE LMS by working with the head office to provide all the necessary course information for deep links to be created.
  • Prepare course materials, handouts, and presentations as needed.
  • Work with external vendors to confirm session dates, manage contracts and communicate training details to the facilitators.
  • Coordinate post‐training activities like evaluation surveys and feedback collection.
  • Maintain accurate records of training attendance, completion, and performance data.
  • Design the regular EMEA and APAC newsletters for D&I/L&OD which includes working with the relevant stakeholders to gather all the relevant information on Employee Business Resource Groups, L&D and D&I activity.
  • Using Canva to create accurate written communications and PDF versions of the newsletter for accessibility purposes.
  • Coordinate quarterly learning catalogue submission for EMEA and APAC.

Reporting & Analysis:

  • Generate reports on training participation, completion rates, and effectiveness.
  • Complete all required escalation reporting that is required for senior leaders in P&O.
  • Proactively track L&D/D&I spending and monitor against budget, escalating as needed in a timely manner.

What You Have

  • Excellent organisational and time management skills to manage multiple training initiatives simultaneously.
  • Strong communication skills to interact effectively with employees, managers, and external vendors.
  • Previous solid learning coordination experience.
  • Proficiency in the Microsoft Office Suite, Canva and learning management systems (experience with Cornerstone is desired).
  • Detail‐oriented with a focus on accuracy and data integrity.
  • Ability to work independently, proactively and as part of a team in a fast‐paced environment.
  • Ability to handle high‐pressure situations in a professional, flexible & customer‐focused manner.
