Outreach Programmes Administrator

The Outreach Programmes Administrator will work in Imperial’s long-established Outreach Team, reporting directly to the Partnerships and Programmes Coordinator. The postholder provides an important role in the administration and support of our multi-intervention programmes, online programmes, and events. This crucial role will be the first point of contact with young people, their families, and schools and will provide support and information throughout the duration of the programmes, from application to onboarding and delivery support.

Imperial’s Outreach Team is responsible for delivering a comprehensive programme of activities for schools and colleges. We deliver a wide range of exciting and inspiring activities for diverse groups of young people from underrepresented backgrounds. Our focus is on raising attainment, changing perceptions, supporting teaching staff and stimulating interest in STEM subjects from primary school to A-Level, as part of Imperial’s commitment to widening participation and outreach.

This role is based at both our South Kensington Campus and our MediaWorks office in White City (with hybrid working). Due to the nature of our events, there will be some evening and weekend work required.

What you would be doing:

• Managing several programme-specific inboxes, monitoring and responding to correspondence accurately
• Working with Outreach Programme Coordinators to deliver effective publicity and communications to ensure eligible young people from target areas are given the opportunity to apply for programmes
• Liaising with the Internal Events Team to book facilities, catering, and equipment for programmes and events
• Responsible for providing administrative and logistical support for in-person and online events as required by Outreach Programmes Coordinators
• Supporting the recruitment and management of student ambassadors
• Manipulating programme application data, including using MS Office software, the Higher Education Access Tracker (HEAT) database and complying with data protection and safeguarding policies.

What we are looking for:

• Minimum of two A-Levels or equivalent
• Experience of working within outreach and widening participation
• Experience of working in an administrative position in a similar size organisation
• Excellent IT skills across the range of Microsoft Office applications
• A good understanding of the UK education system and schools
• A working knowledge of child protection and safeguarding requirements
• A working understanding of GDPR and data protection
• Excellent verbal and written communication skills, including the ability to draft documents and correspondence
• Methodical and detail-oriented approach to tasks
