We are now looking to recruit an experienced Senior Executive PA to join our global team.
Position Overview
The Senior Executive PA will provide high-level business support and comprehensive lifestyle management to the CEO. This role demands exceptional judgement, proactivity, attention to detail, and the ability to navigate a rapidly changing environment with confidence and composure. You will partner closely with the Chief of Staff and collaborate seamlessly with all members of the Office of the CEO to ensure the CEO’s time, travel, priorities and personal logistics are optimally managed. This role is ideal for a seasoned EA/PA who has supported Founders or C-suite leaders for at least 5 years, preferably within financial services, and who excels equally in corporate precision and personal lifestyle coordination.
Responsibilities
- Provide full executive-level calendar and diary management, ensuring the CEO’s time is aligned to business priorities and commitments.
- Take decisive action when managing schedule conflicts, sequencing of meetings and prioritisation of executive engagements.
- Coordinate complex, multi-leg business travel, often booked quarters ahead, ensuring optimal routing, quality, efficiency and cost management.
- Prepare daily and weekly schedules, meeting briefs and travel packs, ensuring accuracy and foresight.
- Monitor, anticipate and respond to changes in the CEO’s diary or travel—problem-solving proactively.
- Assist COO with producing PowerPoint slides and decks where required.
- Work closely with the Chief of Staff to support strategic initiatives, workflows and operational efficiency across the Office of the CEO.
- Build relationships with internal and external stakeholders, acting with professionalism, discretion and executive presence at all times.
Lifestyle & Personal Support
- Plan, research and coordinate high-quality personal travel, across various regions and continents.
- End-to-end planning and coordination of events with limited supervision.
- Manage personal errands, day-to-day tasks and ad hoc personal requirements with efficiency and discretion.
- Maintain personal schedules, oversee personal reservations and ensure seamless integration between the CEO’s business and personal commitments.
- Apply strong financial sensibility—cost-conscious without compromising on quality—across all personal and travel arrangements.
Qualifications
- Minimum 5 years’ experience supporting a Founder, CEO or C-suite leader, preferably in financial services.
- Proven track record of providing both executive business support and lifestyle/personal assistance at a high level.
- Demonstrated ability to coordinate complex global travel (business and personal) with a cost-aware, quality-focused approach.
- Experience working in a fast-paced, high-growth organisation where priorities shift and agility is required.
- Exceptional diary and travel management skills—decisive, proactive and detail-obsessed.
- Strong organisational capabilities with the ability to plan ahead and anticipate needs.
- Excellent judgement, emotional intelligence and discretion.
- Ability to work quickly, calmly and accurately under pressure.
- Comfortable executing personal errands and lifestyle support with professionalism.
- Knowledgeable and keen interest in Alpine sports/activities.
- High level of written and verbal communication skills.
- Strong stakeholder management and relationship-building skills.
- Ability to maintain absolute confidentiality.
- Contactable out of hours when required.
Personal Attributes
- Highly proactive with a “no task too big or small” mindset.
- Adaptable and flexible—able to pivot quickly as circumstances shift.
- Naturally organised, structured and anticipatory.
- High energy, reliable and committed to excellence in execution.
- Service-oriented, with a polished and professional demeanour.
- Thrives in a scale-up environment and embraces continuous change.
