Job Description
Sompo has a unique opportunity for a Facilities Coordinator in our Facilities team in our London office. Our Facilities team ensures the seamless operation and maintenance of our London office workspace, including maintenance support, vendor management, front of house and Health & Safety. As a team we provide an extremely high level of customer service to our colleagues and clients.
Location: This position will be based out of our London office. This role is a full-time office-based role.
What you’ll be doing:
- Coordinate daily operations of the office facilities, ensuring all systems (HVAC, electrical, plumbing, etc.) are functioning properly.
- Address maintenance requests and oversee repairs in a timely and cost-effective manner.
- Assist Facilities Manager in managing vendor performances and ensure compliance with contractual obligations.
- Manage and replenish stock of all office stationery supplies.
- Distribute mail to department pigeon holes daily.
- Develop, implement and enforce departmental policies and procedures, including office Health & Safety.
- Arrange DSE assessments for new joiners & expectant mothers.
- Arrange training for Fire Marshals and First Aiders as required.
- Carry out bi-weekly housekeeping inspections and maintain First Aid boxes and AED’s.
- Assist with onboarding of new starters and off-boarding of leavers.
- Conducting office tours for new starters and providing office information such as floor and seating plans.
- Programming new access passes for new starters and cancelling passes for terminations.
- Updating email distribution lists and phone lists.
- Provide ad-hoc reception cover for holidays/sickness.
What you’ll bring:
- Minimum of 3 - 5 years of experience in a Facilities/Real Estate/Office Administrative or equivalent role.
- Strong communication, customer service, relationship building and conflict management skills.
- Demonstrated confidence and tact in dealing with all levels of management, business associates and outside vendors.
- Previous experience with BMS systems would be a bonus.
