Hillbreak is a mission-driven and stand-out global provider of strategic advice and learning services in sustainability and social impact matters. The Executive Assistant works closely and forms a strategic partnership with the Managing Director, championing our culture and values. Our MD is a founding director of Hillbreak and a globally recognised specialist on responsible investment, urban futures, risk management, policy and sustainability. The Executive Assistant will be committed to supporting the MD across all areas of the business including our sister company APC Success.

Some key tasks and responsibilities include:

  • Managing the working time, calendar, inboxes, expenses, travel and accommodation of the MD, including regular engagement with all team members to ensure that matters requiring his input are properly scheduled and prepared for.
  • Scheduling and ensuring preparedness of the MD for internal and external meetings, including preparing and circulating papers for Advisory Board, Senior Leadership Team and team meetings.
  • Coordinating the timely undertaking of monthly, quarterly and annual accounting procedures, including client invoicing and fee forecasting.
  • Implementing routine financial management procedures, uploading of invoices for payment, bank transaction reconciliation and liaising with the finance administrator on accounts payable queries.
  • Managing key client and supplier relationships including with accountants, legal advisors, and other stakeholders.
  • When required, accompanying the MD to meetings, taking minutes, and recording actions.

This is an ambitious role with the capacity to grow into a true operational decision-maker.

The ideal candidate will:

  • Have proven experience within a similar Executive Assistant role.
  • Be organised and efficient, with the ability for independent thinking and managing priorities.
  • Be competent with IT systems.
  • Have an aptitude for learning and developing new processes.
  • Have excellent written and verbal communication, and numeracy skills.
  • Be proactive and have sound judgement and an eye for precision.
