Overview
We are looking for a highly organised and proactive Event Logistics & Crew Coordinator to join our growing live events team. This is a pivotal role supporting the successful delivery of corporate events, conferences, and commercial projects by coordinating freelance crew, managing travel and accommodation, and ensuring all logistical arrangements are in place for seamless event execution. Working closely with Project Managers, Operations, and Warehouse teams, you'll be responsible for coordinating resources from the initial planning stages through to project completion. Key Responsibilities
- Coordinate the booking and scheduling of freelance crew, ensuring the correct skills and resources are allocated to each project
- Arrange travel, accommodation, transport, and associated logistics for event teams while managing supplier bookings and purchase orders
- Work closely with Project Managers, Operations, and Warehouse teams to ensure all crew, resources, and logistics are planned and communicated effectively
- Maintain accurate records across company systems, ensuring bookings, supplier information, documentation, and job statuses remain up to date
- Monitor project information, proactively chase outstanding details, and resolve booking or scheduling issues to keep projects on track
- Build strong relationships with freelance crew, suppliers, and internal stakeholders while providing efficient administrative support throughout the project lifecycle
Required Qualifications & Experience
- Excellent organisational skills with exceptional attention to detail
- Strong administrative, planning, and time management abilities
- Ability to manage multiple projects and changing priorities within a fast-paced environment
- Excellent communication and interpersonal skills with a professional and customer-focused approach
