We are seeking a dynamic and detail-oriented Executive Assistant to support our Executive Vice President of a key international business segment. This role requires exceptional organizational skills, attention to detail, and critical thinking abilities in a fast-paced and highly confidential environment. The ideal candidate will demonstrate professionalism, discretion, and flexibility while effectively interacting with stakeholders at all levels, both internal and external.
Primary Duties & Responsibilities
- Manage complex and dynamic schedules, including planning meetings and resolving scheduling conflicts.
- Prepare and edit agendas, reports, and other key business documents to support strategic objectives.
- Capture meeting minutes, action items, and ensure timely follow-ups.
- Coordinate global travel arrangements, reconcile expense reports, and manage email distribution lists.
- Organize offsite meetings, corporate events, and executive engagements.
- Oversee office logistics, software, and department communication.
- Handle vendor onboarding, purchase orders, and invoice reconciliation.
- Proactively anticipate needs, taking ownership of projects with minimal direction.
- Ensure absolute confidentiality while handling sensitive business information.
- Remain composed under pressure, managing multiple priorities effectively.
- Utilize advanced Microsoft Office 365 skills, particularly in Outlook, Excel, and PowerPoint.
- Prepare reports and contribute to special projects as required.

Education & Experience
- Proven experience supporting C-suite or senior executives.
- Exceptional organization and communication skills, with the ability to manage multiple high-priority projects.

- Experience handling confidential and sensitive materials.
- Strong ability to prioritize tasks, meet deadlines, and work independently.

Working Conditions
