Admin & Automation Executive in Leicester

• Manage the day-to-day admin of the agency, including inbox management, scheduling, client onboarding and keeping our project management and support systems up to date
• Operate live chat on behalf of a wide range of client businesses, using each client's knowledge base to respond accurately
• Build and maintain client knowledge bases, and manage a library of canned responses for each client
• Support the marketing team with content scheduling, social media admin, campaign set-up and client reporting
• Write and proofread client emails, reports, proposals, website copy and marketing materials to a high standard
• Prepare monthly client reports, pulling data from analytics and marketing platforms
• Monitor time logs and task updates across the team, and follow up where information is missing
• Keep internal documentation, SOPs and the team wiki up to date
• Document each admin process as you learn it, and identify repetitive steps that can be automated
• Build and maintain automations using tools such as Make, Zapier and AI assistants
• Track the time saved through automation and report on progress to management
• Assisting the team with various admin duties

• Excellent written English, with strong attention to spelling, grammar and tone
• A background in marketing, ideally within an agency
• Strong organisational skills and the ability to manage multiple clients and deadlines
• Confident using Google Workspace, project management tools and marketing platforms (e.g. Meta Business Suite, Google Analytics, Mailchimp)
• A logical, process-driven mindset, with the ability to spot work that is repeated and find a better way to do it
• Interest in, or experience with, automation tools (e.g. Make, Zapier) and AI tools such as ChatGPT or Claude
• Able to learn new software quickly
• Experience with live chat or customer support is a plus
• Understanding of SEO and content best practices
