Overview
In this role you will manage day-to-day US/Canada benefits, leave, and HR-side immigration administration, partnering with HR, payroll, and vendors to ensure compliant, timely processes. You will act as the primary operational contact for employees and stakeholders, handling routine requests, escalations, and data accuracy. You will drive benefits and leave programs end-to-end, support 401(k) operations, and coordinate annual Open Enrollment. This position offers meaningful impact through process optimization and cross-functional collaboration.
Responsibilities
- Serve as day-to-day contact for benefits and leave questions from employees, HR, payroll, and vendors
- Administer FMLA, ADA, state, company, and Canada leave with third-party administrator
- Track leave usage, deadlines, return-to-work timing, and status changes with high accuracy
- Coordinate return-to-work and accommodation processes across HR, management, and vendors
- Explain complex policies clearly and escalate sensitive matters appropriately
- Prepare payroll inputs for benefits and leave, including parental leave and disability payments
- Oversee 401(k) plan operations, HRIS integrations, enrollment/eligibility updates, and issue resolution
- Audit deferral changes and ensure HRIS/payroll reflect recordkeeper data
- Support annual Open Enrollment for US/Canada with vendors and HRIS setup/testing
- Coordinate benefit vendor invoices and HSA funding, ensure data accuracy and timely processing
- Provide immigration administration support (H-1B, PERM, EADs) and new-hire benefit communications
- Maintain benefit information on SharePoint and HRIS, ensuring accuracy and accessibility
- Deliver benefits education sessions and prepare communications for new hires and open enrollment
- Identify process gaps and risks; propose solutions and escalate as needed
- Contribute to internal process improvements and automation aligned with policy
Key requirements
- Bachelor’s degree
- 3–5 years of progressive benefits and leave administration experience
- Direct experience supporting US benefit programs
- Experience with HRIS and payroll/benefits systems; Workday and ADP required
- Experience as day-to-day contact for employees, HR partners, payroll, and vendors
- Working knowledge of US leave requirements (FMLA, ADA, state leave)
- Experience coordinating vendor files, integrations, audits, and recurring benefit administration
- Strong Excel skills (VLOOKUP, pivot tables, data validation)
- Strong communication and customer service skills with ability to explain complex topics
- Strong judgment and discretion with confidential information
