The Role..

Soho House is undergoing an exciting period of transformation as we implement a new HR Information System (HRIS) across our European business.

This is a fantastic opportunity for a proactive and enthusiastic individual to join our People Systems team and play an integral role in supporting one of the Soho house's key strategic projects.

Asia, HR Systems Administrator will work closely with the wider EU People Systems team, People colleagues and operational stakeholders across multiple European countries.

As part of this role, you will gain in-depth knowledge of our new HRIS, becoming a subject matter expert who supports the business through system administration, user support, reporting, process documentation and training.

This role is ideal for someone at the beginning of their Systems or People Systems career who enjoys working with data, learning new technology and helping others get the most from systems.

As the system continues to evolve, you will have the opportunity to develop your expertise and contribute to the continuous improvement of People processes across Europe.

Main Duties

  • Support the implementation, administration and ongoing maintenance of the new HR Information System (HRIS) across multiple European countries.
  • Develop a comprehensive understanding of the HRIS and become a subject matter expert for system functionality and best practices.
  • Support the maintenance of accurate employee data and document records within the HRIS, ensuring compliance with GDPR, Soho House policies and local labour legislation.
  • Coordinate People Systems administration throughout the employee lifecycle, including onboarding, employee changes and offboarding activities.
  • Create, maintain and publish user guides, FAQs, process documentation and standard operating procedures.
  • Support the development and documentation of end-to-end People process workflows to promote consistency, efficiency and standardisation across European markets.
  • Deliver system training and support to HR teams, operational managers and end users, both virtually and in person where required.
  • Produce regular and ad hoc reports, dashboards and data analysis to support business decision-making.
  • Monitor data quality, investigate discrepancies and recommend improvements to ensure data integrity.
  • Manage and respond to queries through the HRIS support mailbox, providing timely and professional system support and escalate in a timely manner
  • Assist with system testing, user acceptance testing (UAT) and validation activities for new functionality and system enhancements.
  • Support the digitalisation and continuous improvement of People processes, identifying opportunities to improve efficiency and user experience.
  • Work collaboratively with HR, Payroll, IT, Finance and external system providers to support successful project delivery and ongoing maintenance.
  • Provide administrative support for People Systems projects and other initiatives as required.
  • Build strong relationships with stakeholders across Europe, supporting consistent adoption of People Systems and processes.

What We're Looking For

  • Previous experience using business systems or administrative systems; HR systems experience is advantageous but not essential.
  • Good working knowledge of Microsoft Office, particularly Excel and Word.
  • Excellent communication skills, both written and verbal, with the ability to explain information clearly to a range of audiences.
  • Strong attention to detail and a commitment to maintaining accurate, high-quality data.
  • Excellent organisational skills with the ability to manage multiple priorities and deadlines.
  • Strong analytical and problem-solving skills with a logical and inquisitive approach.
  • Proactive, adaptable and eager to learn new systems, technologies and ways of working.
  • Comfortable creating documentation, process guides and training materials.
  • Confident presenting and delivering training sessions to both small and larger groups.
  • A collaborative team player who enjoys supporting colleagues and contributing to shared goals.
  • Ability to work independently while taking ownership of tasks and seeking support when appropriate.
  • Willingness to travel occasionally across Europe to support system implementation, training and project activities.

Desirable

  • A European language would be beneficial but not essential
  • Experience within HR, People Operations, Payroll or an administrative environment.
  • Exposure to HR Information Systems (HRIS) or enterprise systems.
  • Experience producing reports or analysing data using Microsoft Excel.
  • Understanding of GDPR and handling confidential employee information.
  • Experience supporting projects, system implementations or process improvement initiatives.
